To support the evolving needs of the Managing Partner and to ensure both professional and personal engagements run seamlessly, the firm is seeking a dedicated Executive Assistant/Personal Assistant. This pivotal role demands a high level of organization, discretion, and adaptability, ensuring that schedules, communications, and priorities stay perfectly aligned.
What You’ll Do
- Calendar & Schedule Management – Oversee a complex calendar of business meetings, travel, and personal engagements; resolve conflicts and balance priorities effectively.
- Communications Oversight – Manage calls, emails, and correspondence, ensuring timely and accurate responses with nothing slipping through the cracks.
- Travel Coordination – Plan and book professional and personal travel, including flights, accommodations, transportation, meals, and events. Align schedules with relevant family members where needed.
- Event Preparation & Follow-Up – Prepare materials, coordinate logistics, and ensure smooth execution for meetings and events; follow up to track completion of action items.
- Meeting Support – Arrange meeting spaces, prepare conference rooms, and oversee hospitality to create a professional and welcoming environment.
- Office Organization – Maintain a highly organized workspace, manage supplies, and ensure smooth daily operations.
- Special Projects – Handle a variety of ad-hoc assignments and initiatives with efficiency and discretion.
- Team Collaboration – Work closely with leadership, legal teams, and administrative staff to maintain seamless operations.
What We’re Looking For
- Experience – 3–5+ years as an Executive Assistant supporting senior-level executives.
- Decision-Making – Confident, decisive, and proactive in anticipating needs and solving problems.
- Adaptability – Comfortable working with high-energy, fast-paced personalities while knowing when to slow things down for strategic clarity.
