Summary:
We are seeking a compassionate, organized, and detail-oriented Front Desk / Medical Assistant to join our psychiatry practice. This role supports both front office operations and clinical workflows to help deliver high-quality mental health care. The ideal candidate will provide excellent patient service, assist providers with patient care activities, maintain accurate records, and protect patient confidentiality at all times.
Key Responsibilities:
Clinical Support:

Assist psychiatrists, nurses, and other clinical staff with patient assessments, visit preparation, and care coordination.

Prepare patients for appointments, including obtaining vital signs, updating medical histories, and documenting relevant information accurately.
Administrative Duties:

Schedule, confirm, and manage patient appointments while maintaining an organized appointment calendar.

Answer phone calls, respond to patient inquiries, and route messages promptly and professionally.

Process patient information and maintain accurate medical records in compliance with HIPAA and practice policies.

Support insurance verification, prior authorizations, billing inquiries, and other administrative tasks as needed.
Front Desk and Patient Service:

Greet patients and visitors warmly, assist with check-in and check-out, and ensure a positive patient experience.

Verify demographic and insurance information, collect required forms, and communicate next steps clearly to patients.
Patient Care:

Provide compassionate support to patients and their families during visits.

Provide general information about office procedures, treatment plan follow-up, medication refill processes, and available mental health resources within scope of role.

Assist with referrals, records requests, and coordination with outside providers or agencies as directed.
Team Collaboration:

Collaborate with providers and administrative staff to support efficient patient flow and continuity of care.

Participate in team meetings, follow established protocols, and contribute ideas for improving practice operations.
Requirements:
Qualifications:

High school diploma or equivalent required; Medical Assistant certification preferred.

Previous experience in a psychiatric, behavioral health, medical office, or patient-facing healthcare setting preferred.

Medical Assistant certification strongly preferred.

Excellent communication, customer service, organization, and interpersonal skills.

Ability to handle sensitive and confidential information with professionalism and discretion.

Proficiency with electronic health record systems, scheduling software, and standard office technology.
