Legal Office Administrator
Position Summary
The law firm of Jonathan James Damonte is a small firm located in Largo, Florida. The firm’s primary practice area is community association law, including representation of condominium, cooperative, and homeowners’ associations.
The firm is seeking a dependable, organized, and detail-oriented Legal Office Administrator to support the administrative and operational functions of the office. The firm values initiative and reliability. The Legal Office Administrator plays a central role in ensuring the firm’s day-to-day operations run smoothly and efficiently, coordinating with attorneys, staff, and vendors. This position plays a key role in keeping the firm organized, responsive, and efficient.
This position requires strong organizational and problem-solving skills, excellent communication skills, sound judgement, and the ability to manage multiple priorities with minimal supervision while maintaining a high level of professionalism and confidentiality.
Work Environment
This is an in-person, full-time position. Work hours are 8:30 AM – 5 PM, Monday-Friday.
Key Responsibilities
- Manage relationships with office vendors, technology providers, and community associations.
- Help develop and implement office procedures and policies pertaining to record management, financial management, and client intake processes.
- Maintain the firm's administrative calendar, including deadlines for recurring firm obligations, hearings, mediations, depositions, and client meetings.
- Assist with legal secretarial duties as needed. These duties include but are not limited to: preparing and filing legal correspondences and documents, organizing and assembling client materials, maintaining document templates, and tracking deadlines and court dates.
- Organize and maintain electronic and physical files.
- Maintain accurate financial records, including client billing, invoice preparation, payment processing, time entry, and financial reporting
- Answer and route telephone calls. Professionally greet clients, board members, and vendors. Handle incoming and outgoing mail, email, and courier deliveries.
- Assist with onboarding and administrative support for employees, including benefits enrollment and personnel file management.
- Perform other duties reasonably related to the position and firm operations.
Qualifications and Skills

- Strong time management skills, with the ability to prioritize and balance numerous responsibilities while meeting deadlines.
- Proficiency and adaptability with office technology and software, including Microsoft Office and legal practice software.
- Professional demeanor and commitment to confidentiality.
- Bachelor’s degree in a related field.
- Previous experience working in a legal environment, preferred.
Compensation
Starting salary is $40,000, with higher starting compensation available based on relevant experience and qualifications. Benefits include health insurance, paid time off, and retirement plan with employer match.
