Veterinarians throughout the Midwest refer animal clients to the Veterinary Health Center for specialized diagnoses and treatment. With sophisticated therapeutic equipment that includes an underwater treadmill, advanced imaging techniques, and groundbreaking equine lameness diagnostic equipment, we are a center for animal healthcare. The VHC provides emergency care 24 hours a day for existing patients and until 10:00 p.m. for new patients.
The After-Hours Office Supervisor works Monday through Friday from 4:00 p.m. to midnight and is responsible for overseeing all front-line emergency operations during nights, weekends, and holidays. Once daytime shifts end, staffing levels are significantly reduced; however, the demand for timely, coordinated emergency care remains constant. During these hours, it is critical that emergency services function efficiently from the moment a client enters the building until discharge. The After-Hours Office Supervisor plays a vital role in ensuring this continuity of care. This position is essential to the operational stability, staff support, and high-quality emergency service delivery at the VHC.
Primary responsibilities for this position include, but are not limited to:

Serving as the primary point of contact for the hospital after standard business hours, handling all incoming emergency calls from small animal, equine, and food animal clients, as well as referring veterinarians (RDVMs).

Greetings clients, collecting client personal information, and registering patients in the hospital information system.

Triaging and directing calls, collecting complete client information and histories, and confirming stabilization and code status.

Notifying emergency personnel upon client arrival and communicating case severity.

Discussing payment and financing options, processing payments at discharge, and explaining after-hours charges and billing.

Supervising after-hours part-time staff, including creating staff schedules, ensuring adequate staff coverage, and providing training to after-hours employees.

Monitoring the waiting room and reception area, ensuring client needs are met, and maintaining the general appearance and upkeep of the public areas during after-hours periods.
