Job Summary
We are seeking an organized, detail-oriented, and proactive Office Manager to oversee the day-to-day operations of our office. This individual will play a key role in ensuring the office runs efficiently by managing administrative operations, coordinating schedules, overseeing vendors and events, maintaining inventory, and supporting leadership with budgeting and office management.
The ideal candidate is a strong communicator who thrives in a fast-paced environment and enjoys creating efficient systems while providing exceptional organizational support.
Responsibilities
- Oversee the daily operations of the office.
- Maintain inventory of office supplies, and equipment, ensuring items are stocked and reordered as needed.
- Manage schedules for hourly employees and independent contractors.
- Coordinate interview schedules with hiring managers and candidates.
- Prepare agendas, meeting materials, and presentations for leadership and staff meetings.
- Plan, coordinate, and oversee company meetings, lunches, celebrations, and special events.
- Manage office vendors, maintenance requests, and facility needs.
- Assist with budgeting by tracking office expenses and preparing invoices for approval.
- Process and coordinate bill payments and maintain organized financial records.
- Ensure office equipment is functioning properly and coordinate repairs when necessary.
- Organize office files, records, and administrative systems.
- Support leadership with operational projects and process improvements.
- Maintain a professional, organized, and welcoming office environment.
- Perform other administrative and operational duties as assigned.
Qualifications
- High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
- Minimum of 3 years of office management or administrative experience.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Experience with scheduling software and calendar management.
- Ability to prioritize tasks and meet deadlines.
- Strong attention to detail and problem-solving skills.
- Professional demeanor and excellent customer service skills.
Preferred Qualifications
- Experience managing office budgets and expense tracking.
- Experience coordinating vendors and office facilities.
- Event planning or meeting coordination experience.
- Experience with scheduling platforms and accounting software such as QuickBooks.
- Experience working in a professional office, legal office, or corporate environment.
