Job Summary
Rawle and Henderson is seeking an organized and detail-oriented Intake and Records Specialist to join our team and provide vital support to our Records Department Manager. In this role, you will conduct conflict of interest checks, opening and closing cases, organizing, filing, maintaining and distributing digital and physical case files. In addition, you will also be responsible for electronic file management, facilitating the retrieval and transmission of case files to off-site storage and administration of the firm’s document retention policy.
This is an in office position expected to be in the Philadelphia office five (5) days per week.
The ideal candidate is highly organized, possesses strong communication skills, and thrives in a fast-paced environment while maintaining confidentiality and professionalism.
Responsibilities
Receive, process and respond to requests for conflict-of-interest checks;
Process new matter requests;
Open and process new matters;
Organize, file, maintain and distribute digital and physical case files;
Transfer, copy, and distribute Case Files;
Identify and follow-up on matters that appear to be inactive or ready to be closed;
Facilitate compliance with and execution of Rawle Document Retention Policy
Retrieve and transmit case files to off-site storage.
Qualifications and Skills
High School Education required, with some college education preferred;
Strong organizational skills and attention to detail;
Excellent verbal and written communication skills;
Ability to handle confidential information with discretion;
Proficiency with Microsoft Office Suite; experience with Excel is a plus;
Strong problem-solving skills and the ability to work independently;
Positive, proactive attitude and a commitment to excellent service.
