Duties

- Manage multi-line phone systems, directing calls promptly and professionally using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and deliveries
- Perform data entry tasks with accuracy using Microsoft Office applications and Google Workspace tools
- Maintain organized filing systems both physically and electronically, ensuring confidentiality of sensitive information
- Assist with calendar management and scheduling appointments for staff or executives
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
- Provide general clerical support such as photocopying, proofreading documents, and preparing reports
- Coordinate office supplies inventory and place orders as needed to ensure smooth operations
- Offer personal assistant support to team members by managing schedules and handling administrative requests
Requirements
- Proven experience in an office environment with strong clerical skills and customer service background
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong written and verbal communication skills; bilingual abilities are a plus
- Demonstrated ability to handle confidential information discreetly and professionally
- Experience managing multi-line phone systems and providing exceptional phone etiquette
