JOB SUMMARY: The bilingual Payroll Coordinator is responsible for processing and maintaining accurate and timely payroll for approximately 200 employees each week. This role serves as the company’s primary payroll contact and secondary human resources contact to resolve employee inquiries and concerns. The right candidate has a strong understanding of payroll principles and California wage and hour laws, bilingual English/Spanish proficiency, and excellent interpersonal and organizational skills.
Salary Range: $23-$25/Hour
Part-time, Hourly. This position is currently scheduled for 25 hours per week, with the potential to grow into a full-time role with comprehensive benefits.
Up to 10% of travel time in personal vehicle is required to attend meetings or administer duties at two (2) of our other California offices. Company reimburses business related mileage and expenses.
Key Responsibilities (Payroll)
1.Process new hire and employee change data in the HRIS system. Review time and attendance records for accuracy and process weekly payroll to ensure employees are paid on time by direct deposit or check.
2. Run payroll reports to confirm meal breaks, rest breaks, and overtime pay comply with California wage and hour laws; make adjustments as needed.
3. Report payroll errors and act as primary payroll liaison to address and resolve employee pay questions and promptly fix mistakes in pay errors.
4. Escalate urgent matters to Human Resources and/or Finance to ensure rapid resolution. Route non-urgent inquiries to Human Resources, Finance, Operations, or Risk Management, as appropriate.
5. Establish scheduled internal reviews of active and stored forms (i.e. I-9's, benefits, current contact info, emergency contact info, job class, FLSA status) to catch missing or outdated information and expired forms and documents.
6. Handle all duties with discretion to protect employee and company confidentiality.
7. Work effectively in a quiet, collaborative office environment where accuracy is prioritized over speed.
Key Responsibilities (HR)
1. Coordinate and process paperwork for new hires, rehires, layoffs, terminations, and employee status changes.
2. Support recruiting and onboarding activities, including scheduling drug tests, pre-employment physicals, and background or credit checks as needed.
3. Facilitate new hire orientation and training on company policies, procedures, and benefits as needed.
4. Maintain organized digital and physical files, including new hire documents, status changes, I-9 forms, tax documents, and termination records.
5. Partner with HR to track employee leaves, including FMLA, CFRA, Paid Family Leave, SDI, Pregnancy Disability Leave, and Workers’ Compensation Leave.
6. Stay current on federal and state compliance requirements, including payroll and labor laws, and tax changes and I-9 regulations.
7. Follow company policies and procedures, including attendance and safety requirements.
8. Perform other duties as assigned.
Qualifications To Apply:
· Education: High school diploma or equivalent required; related college coursework or a bachelor’s degree preferred.
· Work experience: A minimum of three years of combined experience in California payroll processing and human resources is required.

· Highly organized with the ability to manage multiple tasks effectively.
· General knowledge of federal and state leave laws, tax rates and regulations, payroll deductions, and withholding limits.
· Strong Microsoft Office proficiency, including Excel, Word, and Outlook, required; experience with HRIS and payroll systems such as ADP, Paycom, Kronos, or iSolved preferred.
· Valid driver’s license and clean motor vehicle record required.
