We are seeking a dynamic and highly organized Staff Assistant I to join our team! Responsibilities
- Serve as the front desk ambassador by greeting visitors, managing multi-line phone systems, and directing calls with professional phone etiquette
- Maintain organized filing systems, manage calendars, and coordinate appointments using Microsoft Office and Google Workspace tools
- Perform data entry and bookkeeping tasks using QuickBooks to ensure accurate financial records and transactions
- Support office management activities including supply inventory, document proofreading, and preparing correspondence
- Provide exceptional customer service by assisting clients or visitors with inquiries and support needs
- Manage incoming emails and correspondence, ensuring timely responses and follow-up actions
- Assist with personal assistant duties such as calendar management, scheduling meetings, and organizing events or travel arrangements
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Strong computer literacy with excellent typing speed and data entry accuracy
- Experience with QuickBooks for bookkeeping and financial recordkeeping
- Bilingual abilities are a plus to effectively communicate with diverse clients or team members
- Exceptional organizational skills with keen attention to detail for proofreading and filing tasks
- Excellent phone etiquette combined with experience managing multi-line phone systems
- Demonstrated office management skills including calendar coordination, office supply oversight, and clerical experience
- Strong time management skills to prioritize tasks efficiently in a busy environment
- Personal assistant experience or administrative background preferred to support executive or team needs
