Operations Associate Position Overview
The Operations Associate is a key member of the Renaissance Charter School Operations Team, responsible for supporting the efficient, safe, organized, and professional operation of the school.
This position combines hands-on daily school operations with process improvement, project coordination, data management, and administrative support. The Operations Associate will work closely with the Operations Manager/Director, school leadership, teachers, staff, students, families, vendors, and community partners to ensure that operational systems function effectively and continuously improve.
The successful candidate will be highly organized, proactive, analytical, and solutions-oriented. They should be comfortable working in a fast-paced school environment where priorities can change quickly and where operational issues often require immediate attention.
The Operations Associate is expected to take ownership of assigned responsibilities, identify problems before they become larger issues, recommend solutions, and follow projects through to completion.
Strong preference will be given to candidates who are fluent in both Spanish and English. Spanish proficiency is highly valued because of the importance of clear, accessible communication and relationship-building with Renaissance Charter School families and community members.
Core Responsibilities1. Daily School Operations
- Support the daily operation of Renaissance Charter School, ensuring that school systems, procedures, and routines are implemented consistently and effectively.
- Support front office operations and serve as a professional and welcoming point of contact for students, families, staff, visitors, and vendors.
- Assist with daily arrival, dismissal, student transitions, cafeteria operations, school events, and other schoolwide operational needs.
- Respond to operational issues promptly and appropriately, escalating matters to the Operations Manager or school leadership when necessary.
- Assist in maintaining a clean, safe, organized, and professional school environment.
- Provide operational coverage and support during periods of high activity or when additional assistance is required.
- Maintain a professional, student-centered, and service-oriented approach in all interactions.
2. Front Office & Family Services
- Provide exceptional customer service to students, families, staff, and visitors.
- Serve as a welcoming and professional representative of Renaissance Charter School.
- Support front office procedures related to visitors, communications, records, student needs, and general school administration.
- Communicate important operational information clearly, accurately, and professionally.
- Build positive relationships with families and community members.
- Communicate effectively with Spanish-speaking families and provide Spanish-language support when appropriate.
3. Student Records, Enrollment & Administrative Systems
- Support student enrollment, transfers, discharges, and related administrative processes.
- Maintain accurate and organized student records and operational documentation.
- Assist with data entry and information management across school systems.
- Support attendance-related processes and required submissions.
- Assist with maintaining accurate information in student information systems and other school databases.
- Identify missing, inconsistent, or inaccurate information and work with appropriate staff to resolve issues.
- Maintain confidentiality when handling student, family, staff, and school information.
- Develop and maintain organized systems for storing and retrieving operational information.
4. Purchasing, Procurement & Inventory
- Support the school's purchasing and procurement processes.
- Assist with purchase orders, invoices, vendor documentation, and purchasing records.
- Support curriculum, instructional material, office supply, facilities, and other operational purchasing needs.
- Assist with NYSTL-related curriculum purchasing and other school-specific procurement processes as assigned.
- Monitor inventory levels and proactively identify upcoming supply needs.
- Maintain accurate inventory records and assist with periodic inventory counts.
- Identify opportunities to improve purchasing and inventory workflows.
5. Facilities, Vendors & Building Operations
- Assist with emergency preparedness, safety procedures, drills, and school emergency response protocols.
- Escalate safety, security, or facilities concerns immediately when appropriate.
6. School Events & Logistics
- Assist with planning and executing schoolwide events, family events, staff events, and special programs.
- Assist with coordinating transportation, meals, supplies, schedules, staffing, documentation, and other logistical requirements.
7. Operational Efficiency & Process Improvement
- Analyze existing operational processes and identify opportunities to improve efficiency, consistency, and service.
- Proactively identify operational challenges and recommend practical solutions.
8. Project Management & Coordination
- Coordinate assigned operational projects from planning through completion.
- Develop project timelines, task lists, and implementation plans in collaboration with the Operations Manager.
- Identify potential obstacles and communicate concerns before they affect project timelines.
9. Data & Information Management
- Collect, organize, maintain, and analyze operational data as assigned.
- Assist in developing systems for monitoring deadlines, inventory, purchasing, attendance, facilities, events, and other operational responsibilities..
10. Safety & Schoolwide Support
- Support a safe and orderly school environment.
- Follow all school safety, emergency, security, and student supervision procedures.
- Assist with arrival, dismissal, hallway transitions, cafeteria operations, and other student-facing procedures as assigned.
- Actively support schoolwide expectations and operational procedures.
- Respond calmly and appropriately during emergencies or unexpected situations.
- Communicate safety or operational concerns promptly to the appropriate school leader.
- Understand that operational responsibilities may require flexibility and support outside of an individual's normal daily routine.
QualificationsRequired Qualifications
- 2–3+ years of professional experience in operations, administration, school operations, office management, project coordination, customer service, or a related field.
- Bachelor's degree preferred; equivalent professional experience may be considered.
- Demonstrated ability to manage multiple priorities and meet deadlines.
- Strong analytical, problem-solving, and decision-making skills.
- Excellent interpersonal skills and ability to work effectively with diverse stakeholders.
Strongly Preferred Qualifications
- Bilingual proficiency in Spanish and English.
- Experience working in a school, charter school, public school, or educational organization.
- Experience working directly with families and community members.
- Experience with student information systems and attendance systems.

Pay: $58,000.00 - $62,000.00 per year
