Clinic Operations Lead

Prince Health is a rapidly growing regenerative medicine and chiropractic practice in The Woodlands, Texas. We are seeking a highly organized, driven, and solutions-oriented individual to help lead our daily clinic operations.

While this is not a people management position, you will play a critical leadership role by driving operational excellence, supporting our team, and ensuring the clinic runs efficiently every day.

What You'll Do
As our Operations Coordinator, you will work closely with the Clinic Manager to oversee the day-to-day operations of the clinic while ensuring systems, workflows, and administrative functions support exceptional patient care.
Primary Responsibilities
- Drive daily operational priorities and ensure office functions are completed accurately and efficiently.
- Serve as the first point of contact for operational issues and quickly implement practical solutions.
- Develop, improve, and maintain clinic systems, workflows, policies, and procedures.
- Establish priorities while effectively managing both immediate needs and long-term operational objectives.
- Monitor patient communication, follow-up, and scheduling to improve patient satisfaction and treatment adherence.
- Analyze clinic performance metrics, patient trends, and operational data, presenting findings and recommendations to leadership.
- Monitor team scorecards, operational metrics, and accountability measures.
- Collaborate with front office and clinical teams to optimize provider schedules and maximize appointment utilization.
- Oversee Human Resources functions including payroll, benefits administration, scheduling, onboarding, and performance management.
- Support bookkeeping, accounting functions, audits, and financial reporting as directed.
- Oversee end-of-day balancing, account receivable processes, and patient ledger accuracy.
- Coordinate with vendors to maintain operational efficiency.
- Help maintain clinic equipment, technology, and office systems.
- Provide administrative support to clinic leadership.
- Cross-train across multiple clinic functions and step in wherever needed to support the team.

Qualifications
Required
- Bachelor's degree in Business, Management, Healthcare Administration, or a related field (Master's degree preferred).
- Previous experience in office administration or operations management.
- Experience with Human Resources, including payroll and benefits administration.
- Experience leading projects, teams, or operational initiatives.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency with Google Workspace and common business software.
- Ability to manage confidential information with discretion.
- Strong problem-solving and critical-thinking skills.
- Ability to work independently while collaborating effectively with others.
Preferred
- Healthcare or medical office experience.
- Experience creating workflows, systems, SOPs, and operational documentation.
- Bookkeeping or accounting experience.
- QuickBooks experience.
- Experience training or educating team members.
- Experience using data and analytics to improve business performance.

Pay: $65,000.00 - $75,000.00 per year
