We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Front Desk & Office Operations
- Serve as the primary point of contact at the front desk during afternoon hours
- Greet and direct visitors, volunteers, and deliveries in a professional and friendly manner
- Answer, screen, and route incoming phone calls; take and relay messages promptly
- Manage the office cell phone kept at the front desk; coordinate any device needs or replacements
Inventory & Supply Management
- Oversee and organize the inventory closet; maintain accurate records of supplies on hand
- Ensure the Warwick office is fully stocked with office and kitchen supplies at all times
- Receive supply requests from campaign staff, obtain required approvals, and manage the ordering and fulfillment process
- Track and reconcile orders against deliveries
Vendor & Facilities Coordination
- Ensure maintenance vendors are invoiced and paid in a timely manner
- Serve as the point of contact for routine facility needs; escalate issues appropriately
- Coordinate scheduling for any on-site service visits
Keys & Vehicle Management
- Manage distribution and return of office keys; maintain a key log
- Oversee on-site campaign van: Help to coordinate drivers, flag any maintenance needs
Staff & Campaign Support
- Provide general administrative support to campaign staff as needed
- Assist with volunteer check-in
- Support scheduling of shared resources such as conference rooms or vehicles
- Perform data entry into campaign systems or databases as directed
- Assist with filing, document organization, and maintaining a tidy front-office environment
- Sort, distribute, and prepare outgoing mail and correspondence
- Assist with office events, activities, and special projects that support the campaign team
Skills & Qualifications
Required
- Basic Microsoft application (intermediate) Word & Exel
- Google Suite (intermediate) Google Drive, Calendar, etc.
- Reliable and punctual — consistent Monday–Friday availability from 2:00–7:00 PM
- Strong interpersonal and communication skills; comfortable interacting with a wide range of people
- Organized and detail-oriented, with the ability to juggle multiple tasks without dropping the ball
- Comfortable handling basic procurement tasks: placing orders, tracking deliveries, managing approvals
- Proficient with basic office technology: email, phone systems, and standard computer applications
- Trustworthy and discreet; will handle access to keys, office assets, and campaign materials
- Positive, team-player attitude — willing to pitch in wherever needed
Preferred
- Prior experience in a receptionist, administrative assistant, or office coordinator role
- Familiarity with campaign, nonprofit, or political office environments
- Experience with inventory or supply management
- Comfortable managing shared vehicles or fleet logistics
- Basic data entry experience
