The Sales Project Coordinator is responsible for leading and managing a team of appointment setters focused on generating qualified sales opportunities for healthcare technology and services. This role oversees daily sales operations, call quality, team performance, recruiting, onboarding, coaching, and continuous process improvement to ensure achievement of sales targets.
The ideal candidate is a highly motivated sales leader with extensive experience marketing healthcare solutions to physician offices, medical groups, and hospital facilities. The candidate must possess strong leadership, coaching, analytical, and technical skills to help appointment setters overcome challenges and maximize appointment conversion rates.

Key ResponsibilitiesTeam Leadership & Performance Management
- Lead, supervise, and motivate a team of appointment setters to consistently achieve daily, weekly, and monthly goals.
- Establish individual and team performance objectives, KPIs, and productivity standards.
- Monitor team performance metrics, including call volume, appointments scheduled, conversion rates, contact rates, and campaign effectiveness.
- Conduct daily huddles, coaching sessions, and performance reviews.
- Foster a positive, competitive, and high-performance sales culture.
- Recognize, reward, and motivate top performers while implementing improvement plans for underperforming team members.
Call Quality Management
- Review and evaluate outbound sales calls to ensure adherence to quality standards and company messaging.
- Monitor call recordings and provide constructive feedback to improve effectiveness.
- Develop and implement quality assurance processes and scorecards.
- Coach team members on objection handling, gatekeeper navigation, appointment-setting techniques, and consultative selling.
- Ensure all customer interactions are professional, compliant, and aligned with organizational standards.
Recruitment, Training & Onboarding
- Recruit, interview, and hire appointment setters and inside sales representatives.
- Develop and execute onboarding programs for new hires.
- Provide comprehensive training on healthcare products, sales processes, CRM systems, and prospecting strategies.
- Conduct ongoing sales training sessions to enhance team knowledge and performance.
- Create training materials, scripts, objection handling guides, and best practice documentation.
- Continuously identify staffing needs and build a talent pipeline to support organizational growth.
Sales Operations & Project Coordination
- Coordinate outbound sales campaigns targeting physician offices, medical groups, hospitals, and healthcare facilities.
- Track campaign performance and provide recommendations for improvement.
- Collaborate with sales, marketing, and executive leadership to align strategies and objectives.
- Ensure timely follow-up and proper lead management throughout the sales lifecycle.
- Maintain accurate forecasting and reporting on team performance and pipeline activity.
Technical Support & Process Improvement
- Analyze sales challenges and provide practical solutions to improve appointment conversion rates.
- Utilize CRM analytics and reporting tools to identify trends, gaps, and opportunities.
- Assist appointment setters with technical issues related to CRM, EHR, Practice Management Systems (PMS), and sales applications.
- Recommend process improvements, workflow enhancements, and automation opportunities.
- Develop and maintain sales dashboards, reports, and performance metrics.
Healthcare Market Expertise
- Market healthcare technology solutions and services to physician offices, medical practices, ambulatory clinics, and hospital facilities.
- Maintain strong knowledge of healthcare industry trends, provider workflows, and market dynamics.
- Understand physician practice operations, revenue cycle management, and healthcare technology adoption challenges.
Required Qualifications
- Bachelor's degree in Business Administration, Healthcare Administration, Marketing, or a related field preferred.
- Minimum 10 years of hands-on sales and marketing experience, preferably within healthcare technology or healthcare services.
- Minimum 5 years of experience managing inside sales, appointment setting, or lead generation teams.
- Demonstrated experience marketing and selling to physician offices, hospitals, healthcare systems, and medical groups.
- Proven track record of consistently achieving and exceeding sales targets.
- Experience recruiting, training, coaching, and developing sales professionals.
