We are seeking a highly organized, detail-oriented, and technologically capable Service Billing & Warranty Administrator to join our growing team.
This is not a traditional billing clerk position. This role serves as the final quality-control checkpoint between completed service work and customer invoicing. The successful candidate will understand technical service operations, work directly with technicians and service advisors, ensure documentation meets company standards, process warranty claims, and produce accurate, professional invoices.

Position Summary
The Service Billing & Warranty Administrator is responsible for reviewing completed work orders, verifying labor and parts charges, processing customer invoices, administering warranty claims, and ensuring all service documentation is complete and accurate.
This position works closely with Service Advisors, Technicians, the Parts Department, Service Management, and Accounting to ensure work performed is properly documented, billed, and communicated to customers.
The ideal candidate has experience in a technical service environment and understands that accurate invoicing starts with accurate documentation.
Key Responsibilities
Billing & Invoice Processing
- Review completed work orders for billing accuracy and completeness.
- Verify labor hours, technician documentation, parts charges, subcontractor expenses, and miscellaneous costs.
- Generate and process customer invoices in a timely manner.
- Ensure all billable labor, parts, and services are properly captured.
- Resolve billing discrepancies with Service Advisors and management.
- Maintain accurate billing records and supporting documentation.
- Assist with month-end invoicing and reporting processes.
Warranty Administration
- Prepare and submit warranty claims to manufacturers and vendors.
- Track warranty approvals, reimbursements, and claim status.
- Maintain complete warranty documentation and records.
- Coordinate with manufacturers regarding claim requirements and supporting documentation.
- Monitor warranty recovery opportunities and ensure claims are submitted promptly.
Work Order Auditing & Documentation Control
- Audit technician work orders and service reports for completeness and accuracy.
- Verify technician notes clearly support the work performed and the resulting invoice.
- Ensure diagnostic findings, recommendations, labor descriptions, and parts usage are adequately documented.
- Identify missing, incomplete, or unclear information prior to invoicing.
- Communicate directly with technicians to obtain required documentation and corrections.
Customer & Team Support
- Assist customers with invoice and warranty-related questions.
- Support Service Advisors by helping ensure smooth work order closeout.
- Collaborate with technicians, parts personnel, and management to resolve documentation issues.
- Contribute to process improvements that enhance efficiency and customer experience.
Technology & AI Expectations

The Service Billing & Warranty Administrator will be expected to:
- Utilize company software platforms to manage work orders, billing, warranty administration, and customer records.
- Learn and effectively use AI-powered tools to improve productivity and accuracy.
- Assist in developing and improving administrative workflows through technology.
- Adapt to new software systems and evolving operational processes.
- Participate in ongoing technology and AI training initiatives.
Experience using tools such as ChatGPT, Microsoft Copilot, AI-powered search tools, workflow automation platforms, or similar technologies is preferred.

Qualifications
Required
- 3+ years of experience in billing, service administration, warranty administration, operations support, or a related administrative role.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication abilities.
- Ability to work independently while managing multiple priorities.
- Strong computer and software proficiency.
- Ability to communicate professionally and confidently with technicians, managers, vendors, and customers.
- Strong problem-solving and follow-up skills.
- Ability to enforce documentation standards and hold others accountable in a professional manner.
Preferred
- Experience in marine, automotive, heavy equipment, industrial service, manufacturing, HVAC, construction, aviation, or similar technical industries.
- Experience reviewing technical service reports, work orders, or repair documentation.
- Basic understanding of mechanical, electrical, plumbing, HVAC, equipment repair, or technical service operations.
- Warranty administration experience.
- QuickBooks experience.
- Experience utilizing AI tools such as ChatGPT, Microsoft Copilot, or similar productivity platforms.

Most importantly, they understand that every invoice represents both revenue for the company and a reflection of the customer's service experience.

$65,000 – $75,000 annually, depending on experience, technical background, and qualifications.
