Aesthetic Advisor Position Summary
The Aesthetic Advisor serves as the first point of contact for patients and plays a key role in delivering an exceptional patient experience throughout every stage of the aesthetic journey. This position combines front desk coordination, patient communication, appointment scheduling, sales support, and patient relationship management to ensure a seamless and memorable experience.
The Aesthetic Advisor is responsible for welcoming patients, managing inbound and outbound communications, educating patients on services and skincare products, coordinating provider schedules, and supporting patient retention through outstanding customer service and follow-up. This role acts as a liaison between patients and medical professionals while upholding the organization’s culture, professionalism, and commitment to excellence.
Responsibilities & Duties
- Greet patients and guests warmly while creating a welcoming and professional environment
- Manage inbound and outbound calls, emails, and patient inquiries in a timely and courteous manner
- Schedule consultations, treatments, and follow-up appointments with the appropriate provider
- Educate patients on surgical and non-surgical services, skincare products, and treatment options within scope
- Support patient retention through appointment rebooking, follow-up communication, and relationship building
- Achieve skincare retail goals through product recommendations and cross-referrals
- Maintain accurate patient documentation and communication records within PatientNow and other systems
- Coordinate and maintain organized provider schedules
- Collect patient information, process payments, reconcile daily deposits, and provide receipts
- Ensure all patient interactions align with company policies, procedures, and culture standards
- Maintain front desk organization, office supplies, and inventory levels for retail skincare products
- Scan and manage medical records and miscellaneous documentation
- Participate in ongoing education and training to maintain industry knowledge and service excellence
- Collaborate effectively with providers, clinicians, aestheticians, and team members
- Provide coverage and operational support across all Quintessa Aesthetic Center locations in Wisconsin as needed
- Travel to other locations to assist with peak periods, special events, or team coverage
- Support cross-location initiatives, training, or project needs by providing flexible coverage as required
- Perform additional administrative and operational duties as assigned
Requirements
- Associate Degree preferred
- Previous customer service, front desk, call center, or sales experience preferred
- Experience in aesthetics, skincare, medical spa, plastic surgery, or cosmetic services preferred
- Knowledge of skincare products and aesthetic treatments is a plus

Pay: From $25.00 per hour
