Administrative Assistant / Receptionist
We are seeking an Administrative Assistant / Receptionist to join our team! We're looking for a motivated individual who is seeking a long-term career with a rapidly growing company. We are a design and manufacturing company specializing in the sale of pre-engineered steel buildings throughout the United States.
This is an excellent opportunity for someone who is highly organized, computer savvy, and eager to grow within the company. Experience with computer design software is a significant advantage and may provide opportunities for advancement. This is a full-time position.
Responsibilities
- Perform general administrative and secretarial duties.
- Answer incoming phone calls using company-approved scripts and professional etiquette.
- Manage incoming and outgoing mail, packages, and shipments.
- Draft correspondence, reports, and other business documents.
- Schedule appointments, meetings, and company events.
- Greet and assist clients and visitors in a professional manner.
- Maintain a clean, organized, and welcoming reception area.
- Organize and maintain both physical and digital filing systems.
- Assist Project Managers and the Director of Operations with daily administrative tasks and special projects.
- Help manage and monitor the company's AI agents and assist with AI-driven workflows.
- Support internal technology initiatives and help implement new software and automation tools.
- Perform data entry, document management, and CRM updates.
- Provide general office support to ensure smooth day-to-day operations.
Qualifications
- Strong computer skills with experience using Microsoft Word, Excel, QuickBooks, DocuSign, and similar business software.
- Comfortable learning and working with AI platforms, automation tools, and new technologies.
- Highly computer savvy with the ability to troubleshoot basic software and technology issues.
- Previous experience in office administration, reception, or a related field.
- Excellent organizational and time management skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Strong written and verbal communication skills.
- Professional appearance and customer service skills.
- Ability to work independently while also collaborating effectively with a team.
- Experience with CRM software, project management tools, computer-aided design (CAD) software, or AI tools is a plus but not required.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
