Position Summary:
We are seeking a proactive and detail-oriented Workplace Experience Coordinator to join our team in enhancing the in-office experience, fostering a collaborative and vibrant workplace culture. This full-time, onsite role involves orchestrating large-scale events, ensuring seamless daily operations, and supporting a welcoming environment for employees and visitors alike. Key Responsibilities:
- Coordinate end-to-end logistics for large-scale team offsites, technical events, and codeathons in the Seattle office and beyond.
- Act as the primary onsite representative, providing a welcoming, organized, and high-quality experience for employees, visitors, and event attendees.
- Manage event schedules, invitations, attendee communications, and logistical details such as catering, office access, and technical setups.
- Collaborate with Executive Assistants, Facilities, IT, Security, and external vendors to ensure flawless event execution and operational efficiency.
- Oversee onsite catering logistics, including meal scheduling, dietary accommodations, vendor communication, and real-time adjustments.
- Coordinate offsite dining arrangements, restaurant reservations, private dinners, and payment processing, supporting multiple office locations.
- Reserve and prepare conference rooms and event spaces, handling layout configurations, technical equipment, and supplies to ensure readiness.
- Maintain event documentation, playbooks, and operational trackers to support ongoing events and continuous improvement efforts.
- Assist with managing event budgets by monitoring expenses, maintaining records, and processing receipts and invoices.
- Proactively identify operational challenges, resolve issues swiftly, and adapt to shifting priorities in a fast-paced environment.
- Foster a positive and inclusive workplace atmosphere by delivering exceptional customer service and building strong vendor and partner relationships.
Required Qualifications:
- High school diploma or GED; associate's or bachelor's degree preferred.
- Minimum of 2 years of experience in workplace operations, office coordination, facilities, hospitality, or event planning.
- Demonstrated ability to coordinate multiple operational workflows efficiently in a dynamic setting.
- Strong organizational, communication, and problem-solving skills with keen attention to detail.
- Proficiency with Google Workspace (especially Google Sheets), expense management, and relevant office software.
- Ability to collaborate effectively with employees, leadership, vendors, and cross-functional teams while exercising sound judgment.
- Passion for creating an inviting, engaging workplace and fostering a positive team environment.
- Proven track record of delivering excellent customer service and going above and beyond for colleagues.
- Positive, flexible, and team-oriented attitude, with a willingness to support wherever needed.
- Ability to lift and move items weighing 25 pounds or more regularly.

- Prior experience managing events or operational workflows in a corporate setting.
- Familiarity with office safety standards and technical event equipment setup.
- Strong vendor management and negotiation skills.
- Ability to adapt to evolving priorities and handle multiple projects with ease.
