The Equipment Maintenance / Parts Manager supports the Heavy Equipment Division by managing parts procurement, preventive maintenance coordination, inventory organization, vendor coordination, and technical support for shop and field heavy equipment needs. This role helps maintain equipment uptime, repair efficiency, and operational readiness by serving as a key link between the shop and field operations.
Responsibilities:
Parts Procurement & Vendor Coordination

Lead the sourcing, ordering, tracking, and expediting of parts for field deliveries, equipment repairs, scheduled maintenance, on-road trucks, attachments, and shop needs.

Coordinate orders, pickup/delivery timing, and availability with vendors, dealers, mechanics, field supervision, and management.

Research parts, components, and alternatives to support timely repairs, cost-effective purchasing, and equipment uptime.

Maintain vendor relationships and escalate delays, backorders, quality concerns, or pricing issues as needed.
Preventive Maintenance & Equipment Readiness

Coordinate and schedule preventive maintenance activities to minimize disruption to field production and shop workflow.

Collaborate with the Heavy Equipment Shop Manager, mechanics and field supervision to prioritize repairs and maintenance based on operational urgency.

Support preparation of equipment and attachments for new projects, divisions, or field deployment.

Assist in identifying recurring equipment issues and recommend process or maintenance improvements.
Inventory & Parts Room Management

Manage parts inventory, organization, labeling, storage systems, and replenishment practices to ensure timely availability without unnecessary excess stock.

Continue improvement of parts room structure, including drawer systems, obsolete inventory elimination, returns, credits, and standardization.

Monitor usage trends and critical inventory needs for commonly used parts, fluids, filters, components, and supplies.

Maintain clean, safe, and efficient parts storage areas consistent with company standards.
Technical Equipment Support

Support diagnosis of equipment issues, fault codes, schematics, wiring concerns, and component needs.

Provide technical guidance to mechanics and operational teams when researching repairs, parts, equipment documentation, or OEM information.
Equipment Systems, Records & Reporting

Support use of EQ360, OEM telematics, and related systems to improve visibility into equipment status, utilization, maintenance needs, and cost tracking.

Assist management with reporting that supports internal equipment rates, T&M billing support, budget analysis, and equipment profitability review
Financial & Administrative Support

Review and process invoices, purchase orders, and credits accurately and timely.

Validate charges, parts, quantities, and supporting documentation before approval or processing.

Support shop budget goals by helping monitor purchasing trends, credits, obsolete inventory, and cost-saving opportunities.

Assist with process improvements that improve invoice flow, recordkeeping, and accountability.
Shop/Field Coordination & Team Support

Coordinate pickup and delivery priorities with assigned support personnel and help organize daily parts/logistics needs.

Communicate professionally with mechanics, field teams, vendors, management, and internal departments in a fast-paced environment.
Safety & Compliance

Promote Vollers safety policies, stop work when appropriate, and help address safety concerns before work proceeds.

Maintain awareness of workplace hazards in the shop, parts room, yard, and field support activities.

Follow company policies, procedures, and standards for documentation, purchasing, equipment records, and workplace conduct.
Required Knowledge, Skills & Abilities
- Strong mechanical knowledge of heavy construction equipment, attachments, on-road trucks, parts, and maintenance practices.

The ability to interpret equipment information, fault codes, wiring schematics, OEM resources, manuals, and warranty documentation.

Strong organizational skills with the ability to manage multiple urgent priorities in a fast-paced shop and field environment.
