Construction Project Coordinator – Telecom
Position Summary
The Construction Project Coordinator supports telecom construction projects by ensuring all project activities align with lifecycle milestones, schedules, permitting, and budget requirements. This role coordinates administrative, reporting, billing, and compliance functions across multiple projects while maintaining accurate documentation and communication with internal teams, contractor partners, and municipalities. The Coordinator plays a critical role in keeping projects organized, compliant, and progressing efficiently from start to closeout.
Essential Functions
Project Coordination & Tracking
- Coordinate project activities to ensure lifecycle milestones, scope, and production requirements are met.
- Maintain accurate and up-to-date project schedules and production trackers, delivering daily status updates to leadership and weekly progress reports.
- Build jobs and projects within internal systems and ensure all required documentation is properly attached and maintained.
- Pull, review, and manage project documentation from customer platforms.
- Ensure all stakeholders are aligned with current schedules, priorities, and objectives.
Permitting & Municipal Coordination
- Request and track permits with cities, counties, and governing agencies as required.
- Notify municipalities upon project completion to facilitate permit closeout.
- Support compliance-related activities, including assistance with PUC-related work upon request.
Billing, Invoicing & Financial Administration
- Gather billing documentation, prepare and submit invoices using internal accounting tools, and upload all required supporting documentation through customer systems. Track invoice payments to ensure timely receipt and proper reconciliation.
- Process credit card transactions on a weekly basis.
- Support customer billing requests as needed.
- Ensure all invoices and expenses are accurately tracked against approved project budgets and paid on time.
Timekeeping & Administrative Support
- Review, correct, and update employee and contractor timesheets for accuracy and compliance.
- Maintain accurate records to support payroll, billing, and audit requirements.
Communication & Priority Management
- Build and maintain collaborative, professional relationships with internal teams and contractor partners to ensure clear communication and reliable data flow.
- Proactively manage competing priorities, interruptions, and ad-hoc requests while maintaining momentum on critical project deliverables.
- Provide leadership with accurate data and reporting to support informed decision-making.
Knowledge, Skills, and Abilities
- Proficiency in Microsoft Office, with strong experience in Excel; experience with Smartsheets in a construction or telecom environment is preferred.
- Familiarity with construction or telecom billing workflows.
- Strong written and verbal communication skills with the ability to coordinate across multiple stakeholder groups, including municipalities.
- Proven ability to build and maintain effective working relationships with internal teams and external contractor partners.
- Highly organized, self-motivated, and able to manage multiple projects and priorities in a fast-paced environment.
- Strong analytical skills with attention to detail and a high level of accountability for data accuracy and deadlines.
Job Type: Full-time
Pay: $60,000.00 - $80,000.00 per year
