Company Overview
We are a Michigan-based property ownership and management company with a mixed portfolio of nearly 600 residential units across multiple Michigan communities, along with commercial properties based in Caro, MI. Our residential properties are located throughout communities including Frankenmuth, Caro, Sandusky, Deckerville, Midland, Carsonville, Saginaw Township, Thomas Township, Cass City, Croswell, and Holt.
We are seeking an experienced Property Operations Manager to help bring structure, follow-through, accountability, and execution discipline to a busy multi-property portfolio.
Position Summary
This is not an entry-level leasing or office assistant position. The Property Operations Manager will coordinate day-to-day execution across vacancies, unit turns, maintenance follow-up, marketing, leasing pipeline visibility, vendor scheduling, property visits, and internal task tracking.
The right candidate will have significant prior experience in property management, real estate operations, maintenance coordination, construction scheduling, service dispatch, multi-site operations, or a closely related operational role. This person must be able to manage competing priorities, drive tasks to completion, communicate professionally, and create order in a fast-paced environment.
Key Responsibilities
· Track vacant units, notices to vacate, rent-ready dates, advertising status, leasing status, and move-in deadlines across the portfolio.
· Coordinate unit turns with maintenance staff, outside vendors, cleaners, leasing staff, and management.
· Monitor open work orders, aging work orders, high-priority issues, recurring maintenance problems, and tenant follow-up needs.
· Visit properties as needed to verify unit status, inspect progress, take photos, check curb appeal, and identify operational issues.
· Schedule and follow up with vendors, contractors, cleaning crews, and internal maintenance staff to keep projects moving.
· Ensure vacant units are marketed quickly and accurately with proper photos, descriptions, pricing, and listing updates.
· Track leasing pipeline activity, including inquiries, showings, applications, approvals, denials, move-ins, and lost leads.
· Create and maintain operating trackers, calendars, checklists, workflows, and weekly reports.
· Prepare a weekly dashboard for ownership showing vacancies, unit turns, work orders, leasing activity, marketing status, and bottlenecks.
· Communicate professionally with tenants, vendors, contractors, staff, and ownership.
· Identify operational bottlenecks and recommend practical improvements to reduce vacancy loss, improve response times, and increase follow-through.
Required Qualifications
· Minimum of 5 years of experience in property management, real estate operations, maintenance coordination, construction coordination, service dispatch, multi-site operations, or a closely related field.
· Minimum of 2 years coordinating multiple properties, projects, crews, vendors, work orders, or operational deadlines at the same time.
· Valid driver's license and reliable transportation are required.
· Ability and willingness to travel to properties throughout the Michigan portfolio as needed.
· Demonstrated ability to track tasks, deadlines, work orders, vacancies, projects, or operational reports.
· Strong computer skills, including spreadsheets, email, calendars, task tracking, and property management software or similar systems.
· Strong written and verbal communication skills.
· Ability to follow up firmly and professionally with staff, vendors, contractors, tenants, and managers.
· Ability to work from the Caro office full time unless otherwise directed.
Preferred Experience
· Multi-family property management experience.
· Experience with a portfolio of multiple properties or scattered-site operations.
· Maintenance coordination or construction scheduling experience.
· Experience with subsidized housing, compliance deadlines, or government housing paperwork.
· Experience creating reports, dashboards, trackers, or workflow systems.
· Experience coordinating vendors, internal crews, cleaners, contractors, and leasing staff.
Ideal Candidate
The ideal candidate is an experienced operations-minded property professional who does not need to be taught basic workplace organization, follow-through, or accountability. This person should be comfortable walking into a busy environment, identifying what is falling through the cracks, creating a system, and pushing tasks forward until they are completed.
Applicants without prior property management, real estate operations, maintenance coordination, construction scheduling, service dispatch, or comparable multi-site operations experience will not be considered.
Compensation and Schedule
· $25 to $28 per hour, depending on experience.
· Full-time position.
· Monday through Friday regular business hours, with occasional flexibility required based on property needs.
· Primarily based in Caro, MI, with required travel to properties throughout the portfolio as needed.
· PTO, and paid sick time according to company policy and applicable law.
Pay: $25.00 - $28.00 per hour
