HVAC Parts Department / Warehouse Manager
Position Summary
The HVAC Parts Department / Warehouse Manager is responsible for overseeing the daily operations of the parts department and warehouse, ensuring efficient inventory management, accurate ordering, and timely distribution of materials to service technicians and installation teams. This role plays a critical part in maintaining operational efficiency, controlling costs, and supporting field staff with the right parts at the right time.
Key Responsibilities
Inventory & Parts Management

Maintain accurate inventory levels of HVAC parts, equipment, and materials
- Monitor stock usage and forecast demand based on service and installation schedules
- Order parts and equipment from vendors, ensuring best pricing and availability
- Conduct regular cycle counts and full inventory audits
- Track and manage warranties, returns, and core exchanges
Technician & Operations Support

Stage and prepare materials for service calls and installation jobs
- Work closely with service managers, dispatch, and technicians to ensure parts availability
- Source emergency or hard-to-find parts quickly to minimize downtime
- Manage tool tracking and accountability
Vendor & Purchasing Management

Build and maintain relationships with suppliers and vendors
- Negotiate pricing, delivery terms, and bulk purchasing agreements
- Evaluate vendor performance and identify cost-saving opportunities
Administrative & Systems Management

Maintain accurate records in inventory/ERP software
- Track purchase orders, invoices, and delivery schedules
- Generate reports on inventory levels, usage trends, and cost analysis
- Implement and improve warehouse and inventory processes
Qualifications

3+ years of experience in HVAC parts, warehouse, or supply chain management
- Strong knowledge of HVAC equipment, parts, and materials (highly preferred)
- Experience with inventory management systems/software
- Strong organizational and problem-solving skills
- Ability to multitask in a fast-paced environment
- Valid driver’s license
