Administrative Assistant
About the Role
Citiscapes is seeking a reliable, organized, and detail-oriented Administrative Assistant to support daily office and project operations. This position is ideal for someone who is confident working with numbers, experienced with administrative processes, and able to manage multiple responsibilities in a fast-paced environment.
This role plays an important part in keeping operations organized and running efficiently through paperwork processing, invoicing, HOA applications, scheduling, and office support.
Key Responsibilities
- Process and track new job paperwork accurately
- Complete and submit HOA applications in a timely manner
- Prepare invoices and assist with billing and payment collection
- Maintain organized digital and physical filing systems
- Perform data entry and maintain accurate records and job logs
- Assist with payroll preparation and bookkeeping tasks as needed
- Answer phone calls, emails, and customer inquiries professionally
- Schedule appointments and coordinate calendars
- Order and maintain office supply inventory
- Support daily office operations and administrative tasks
Requirements
- Previous experience in an administrative assistant or similar office role
- Strong proficiency in Google Sheets and Microsoft Excel
- Comfortable working with spreadsheets, formulas, and large data sets
- Experience with invoicing, billing, and payment tracking
- Strong organizational skills and attention to detail
- Confidence working with numbers and financial documents
- Ability to multitask and prioritize in a fast-paced environment
- Strong written and verbal communication skills
- Professional, dependable, and able to handle confidential information appropriately
- Customer service experience preferred
- Experience with accounting or office software such as QuickBooks is a plus
