Our events, workshops, courses, and webinars connect clients and industry professionals with the knowledge, technology, and commercial insights they need to succeed. We are looking for an organized, proactive coordinator who can turn plans into seamless, high-quality experiences.
THE OPPORTUNITY
As our Events & Program Coordinator, you will lead the coordination, logistics, and execution of in-person and online events, from initial planning through post-event followup. Approximately 90% of the role is conducted through email, phone, and virtual collaboration with hotels, venues, vendors, clients, instructors, and our Marketing team.
This is a remote role with a preference for candidates based in Florida, who will have the added opportunity to support selected activities in person. The ideal candidate is resourceful, highly organized, comfortable negotiating with vendors, and able to manage multiple moving parts without losing sight of the attendee experience.
WHAT YOU WILL DO
- Coordinate Programs End to End: plan and execute events, workshops, courses, webinars, and virtual sessions, managing timelines, deliverables, and follow-up.
- Manage Venues and Vendors: research and contact hotels, meeting rooms, audiovisual providers, catering partners, and other suppliers; request proposals and negotiate rates and terms.
- Own Event Logistics: coordinate schedules, registrations, attendee communications, speaker requirements, materials, equipment, travel details, and on-site needs.
- Partner with Clients and Marketing: align objectives, audiences, messaging, invitations, campaigns, and event assets with internal and external stakeholders.
- Deliver Online Experiences: set up and run webinars and virtual events, including invitations, registration links, technical checks, moderation support, recordings, and attendee follow-up.
- Control Budgets and Documentation: track quotes, approvals, contracts, invoices, payment milestones, contact lists, attendance, and event expenses with accuracy.
- Monitor Results: prepare concise post-event reports covering attendance, feedback, leads, costs, outcomes, and recommendations for future programs.
- Support On-Site Execution: when based in Florida, attend selected activities to coordinate vendors, speakers, guests, setup, and real-time issue resolution.
QUALIFICATIONS
- 3+ years of experience coordinating corporate events, training programs, hospitality, conferences, webinars, or similar projects.
- Demonstrated ability to manage several events or workstreams simultaneously, with strong attention to deadlines and details.
- Strong vendor research, communication, and negotiation skills, including experience reviewing proposals and controlling costs.
- Professional fluency in English and Spanish, written and spoken, for communication with U.S. vendors, clients, and internal teams.
- Confident use of Microsoft Office or Google Workspace, spreadsheets, calendars, and virtual-event platforms such as Zoom or Microsoft Teams.
- Experience with project-management, CRM, registration, email-marketing, or event-management tools is preferred.
- Availability to work during U.S. Eastern Time business hours.
- For Florida-based candidates: ability to travel to event locations and reliable transportation are preferred.

COMPENSATION & WORK ARRANGEMENT
- Full-time position with a monthly base salary.
- Remote work arrangement; candidates based in Florida are preferred due to the opportunity to support selected events in person.
- Event-related travel, venue access, and approved business expenses will be coordinated in advance in accordance with company policy.
