Our mission is simple: deliver exceptional patient experiences while providing industry-leading results. We are seeking an experienced, driven, and highly organized Practice Manager to oversee day-to-day operations, lead our team, and help scale our rapidly growing practice.
This is not a passive management position. We are looking for a hands-on leader who thrives in a fast-paced environment, can hold teams accountable, solve problems proactively, and continuously improve systems and performance.
Position Summary
The Practice Manager will be responsible for overseeing all non-clinical operations of the practice while working closely with ownership to drive growth, efficiency, profitability, and exceptional patient experiences.
This role requires strong leadership, operational expertise, sales management, team development, and a commitment to maintaining the highest standards of service.
ResponsibilitiesLeadership & Team Management
- Lead, coach, and develop front desk, patient care coordinators, medical assistants, and support staff
- Conduct performance reviews and provide ongoing accountability
- Create and maintain a positive, high-performance culture
- Manage staffing schedules and coverage
- Recruit, interview, onboard, and train new team members
- Address employee concerns and performance issues professionally
Practice Operations
- Oversee daily operations to ensure smooth workflow and exceptional patient experiences
- Develop and improve systems, workflows, and standard operating procedures
- Ensure compliance with company policies and operational standards
- Manage inventory levels and vendor relationships
- Coordinate equipment maintenance and office needs
- Maintain operational efficiency and organization throughout the practice
Financial & Business Performance
- Monitor daily, weekly, and monthly KPIs
- Track provider productivity and conversion metrics
- Manage budgets and control expenses
- Identify opportunities to improve profitability and efficiency
- Assist ownership with strategic planning and business growth initiatives
Sales & Patient Experience
- Ensure outstanding patient experiences from first contact through follow-up
- Monitor consultation conversion rates and treatment plan acceptance
- Assist with membership growth initiatives
- Support sales promotions, events, and practice marketing efforts
- Resolve patient concerns professionally and efficiently
Marketing & Events
- Coordinate patient appreciation events and member-exclusive events
- Assist with implementation of marketing campaigns
- Work alongside ownership to execute growth initiatives
- Support community outreach and partnership opportunities
Administrative Responsibilities
- Manage business communications and office correspondence
- Oversee office supplies, vendor ordering, and operational purchasing
- Ensure proper documentation and reporting
- Generate operational reports for ownership review
Qualifications Required
- Minimum 3 years of management experience
- Proven leadership experience managing teams
- Strong organizational and project management skills
- Exceptional communication and interpersonal skills
- Ability to multitask and prioritize in a fast-paced environment
- Experience with KPI tracking and performance management
- Strong problem-solving abilities
- Professional appearance and demeanor
Preferred
- Medical spa, aesthetics, healthcare, cosmetic surgery, dental, or wellness industry experience
- Experience with Boulevard, Podium, or similar software platforms
- Sales management experience
- Marketing and event planning experience
- Experience scaling a growing business
