We're a small, fast-paced manufacturing company looking for a hardworking, reliable Administrative Assistant with a strong work ethic and a can-do attitude to support our office and keep things from falling through the cracks across multiple departments, including occasional coordination with our production team.
We operate with a "see a need, fill a need" mentality. The right person notices what needs to be done, speaks up, and keeps things moving — while making sure the right people stay in the loop along the way. Priorities can shift quickly, so we need someone who stays organized under pressure, communicates clearly, and follows tasks through to completion.
This role works closely with both our Director of Business Operations and the company owner, depending on the task — so being comfortable managing priorities from more than one direction is key.
What You'll DoOffice & Administrative Support
- Provide day-to-day administrative support across multiple departments — paperwork, schedules, communications, and other office needs.
- Track open items and follow up to make sure tasks get completed.
- Maintain organized records, files, and documentation.
- Research products, services, and vendor solutions, and coordinate purchases as directed.
- Schedule service, maintenance, and repairs for office equipment, coordinating with outside vendors.
- Provide occasional support with HR paperwork, invoice or expense processing, and other administrative tasks as needed.
Owner / Executive Support
A significant part of this role involves working directly with the company owner, providing both business and personal administrative support:
- Manage appointments, schedules, and travel arrangements.
- Research products, services, companies, or other topics and present clear, useful options for a decision.
- Coordinate purchases, orders, deliveries, and returns as directed.
- Communicate with vendors, service providers, and outside contacts on the owner's behalf.
- Organize information and explain reports, documents, or systems in plain, easy-to-understand terms.
- Assist with other business or personal administrative needs as they arise.
