About the Position:
As our Front Desk Associate, you'll set the tone for every family's visit — from their first phone call to their check-out. This role is ideal for someone who genuinely enjoys working with children and families, thrives in a fast-paced environment, and takes pride in creating a smooth, positive experience for everyone who walks through our doors.
What You'll Do
Guest Relations & Patient Experience
- Greet patients and families warmly as they arrive, helping children and parents feel comfortable and at ease
- Serve as a friendly, professional first impression for the practice — in person and on the phone
- Manage a busy, kid-friendly waiting area, keeping it organized, clean, and welcoming
Scheduling & Front Desk Operations
- Schedule, confirm, and reschedule patient appointments using our practice management software
- Answer incoming calls, respond to voicemails, and manage patient inquiries in a timely, courteous manner
- Check patients in and out efficiently, minimizing wait times
- Send appointment reminders and follow up on missed appointments
Patient Records & Administrative Support
- Collect and enter new patient information, ensuring accuracy and completeness
- Maintain and update patient records in compliance with HIPAA guidelines
- Scan, file, and organize patient documents and forms
- Assist with correspondence, mailings, and general office administration
Insurance & Billing Support
- Verify dental insurance coverage and benefits prior to appointments
- Collect co-pays and outstanding balances at time of service
- Assist patients with billing questions and payment plan options
- Coordinate with our billing team on claims and insurance follow-up as needed
Team Collaboration
- Communicate effectively with clinical staff to keep the daily schedule running smoothly
- Flag scheduling conflicts, urgent patient needs, or special accommodations to the clinical team
- Support office flow during busy periods, including help with patient transitions between check-in, treatment, and check-out
What We're Looking For
- Previous front desk, customer service, or administrative experience (dental or medical office experience a plus, but not required)
- A genuine warmth and patience with children and their families
- Strong communication and multitasking skills
- Comfort with computers and learning new software (Dentrix)
- Reliable, punctual, and detail-oriented, attention to detail
- Bilingual is a plus
- A team player who thrives in a busy, people-centered environment
- Able to multitask and thrive in a busy multi-dentist office setting working with a close knit team of 5

We're looking for a friendly, organized, and detail-oriented Front Desk Associate to be the first point of contact for our patients and their families.
Pay: $18.00 - $24.00 per hour
