Position Summary
The Van Maintenance & Inventory Coordinator is responsible for ensuring all company service vans remain fully operational, properly maintained, and consistently stocked with the tools, equipment, and materials technicians need to perform service work efficiently. This role oversees preventative maintenance scheduling, repairs, vehicle inspections, inventory management, warehouse support, purchasing, and material accountability. The ideal candidate is highly organized, dependable, detail-oriented, and committed to maintaining operational readiness across the company's fleet and inventory systems.

Hourly Pay: $18–$20/ hour, based on experience.

Key Responsibilities

Fleet & Van Management

Maintain all company service vans in safe, clean, and operational condition.
Schedule and coordinate preventative maintenance according to manufacturer recommendations.
Transport company vehicles to repair shops for maintenance, inspections, repairs, tire replacements, oil changes, and other required services.
Track maintenance schedules, mileage, registrations, inspections, and service history for every company vehicle.
Perform routine vehicle inspections to identify maintenance issues before they become major repairs.
Coordinate with management regarding repair status and vehicle downtime.
Ensure every company vehicle is clean, organized, and ready for daily operations.

Van Inventory Management

Ensure every service van is fully stocked with required tools, equipment, consumables, and commonly used service materials.
Perform daily and weekly truck inventory inspections.
Restock vans to maintain established minimum inventory levels.
Maintain accurate inventory records for all truck stock.
Verify technicians have the required materials available before each workday.
Organize tools and inventory consistently across all company vehicles for efficiency and accountability.

Materials Accountability

Track all materials removed from company vehicles for each service job.
Verify materials used match job documentation.
Maintain accurate records showing what materials each technician uses on every job.
Identify, document, and report unauthorized, undocumented, or missing materials.
Perform regular inventory audits to ensure accountability.
Assist management in reducing inventory loss and improving inventory control.
Support inventory reconciliation and reporting.

Materials Management

Track and manage materials issued, used, returned, and replenished.
Perform routine inventory counts and reconcile discrepancies.
Maintain inventory records to support purchasing and replenishment.
Monitor truck stock levels and warehouse inventory.
Receive, organize, label, and stock incoming materials.

Warehouse Operations

Maintain a clean, organized, and safe warehouse.
Assist with loading, unloading, and staging materials and equipment.
Deliver materials, equipment, and tools to job sites as needed.
Ensure proper storage and labeling of all inventory.
Support warehouse organization and continuous improvement efforts.

Purchasing & Supply Runs

Assist with ordering materials and maintaining inventory levels.
Make supply runs to Home Depot and other approved vendors.
Pick up emergency materials for technicians and job sites.
Complete company errands related to purchasing and daily operations.
Support inventory replenishment efforts.

Qualifications

Valid driver's license with a clean driving record.
Strong organizational skills and attention to detail.
Excellent accountability and follow-through.
Ability to work independently with minimal supervision.
Ability to prioritize multiple responsibilities.
Basic understanding of inventory management and material handling.
Comfortable using smartphones or tablets for inventory tracking, photos, forms, and documentation.
Good communication skills.
Reliable attendance and punctuality.
Previous experience in fleet management, warehouse operations, inventory control, plumbing, HVAC, electrical, construction, or other service industries.
Experience using inventory management software or mobile applications.
Basic mechanical knowledge of vehicles is preferred but not required.

Physical Requirements

Ability to lift and carry materials weighing up to 50 pounds.
Ability to work in a warehouse environment.
Ability to load and unload materials and equipment.
Ability to drive company vehicles throughout the workday.
Ability to stand, bend, kneel, walk, and move throughout the day.

Performance Expectations

Success in this role will be measured by:

Company vans remain operational with minimal downtime.
Preventative maintenance is completed on schedule.
All service vehicles remain fully stocked, clean, and organized.
Accurate inventory records are maintained at all times.
Materials are properly tracked for every technician and every job.
Unauthorized material usage is identified and documented.
Warehouse remains clean, organized, and efficient.
Technicians consistently have the tools, equipment, and materials needed to complete service jobs without delays.
Inventory shortages, material loss, and vehicle downtime are minimized through proactive planning and accountability.
