About the Role
Here at our Gallatin, Tennessee office, we’re looking for a full-time, dependable, detail-oriented Administrative Assistant to support our team and keep our office running smoothly. This is a hands-on, variety-filled role for someone who thrives on wearing multiple hats. One hour you may be processing returns, the next scheduling a patient rental, running an errand, or coordinating a repair. What You’ll Do
Operation Support
- Handle correspondence, filing, and general administrative tasks with discretion
- Coordinate with the corporate office in Utah on shared tasks
- Provide direct administrative support to the local team, including calendar management and scheduling
- Run regular errands and deliveries for the team. These can range from quick stops to multi-hour trips.
- Assist in coordinating company events, meetings, and travel arrangements
Patient Scheduling & Rentals
- Contact patients by phone to schedule equipment rentals and returns
- Coordinate in-person patient deliveries
- Maintain accurate rental records and follow up on outstanding returns
Office Operations & Facilities
- Assist in Claims Cycle Management
- Perform occasional stocking of office supplies
- Keep the office tidy and presentable
- Process and sanitize returned DME rental equipment
What We’re Looking For
Required
- Reliable personal vehicle, valid driver’s license, and clean driving record (you’ll be driving regularly for errands and occasional deliveries; mileage reimbursed at the federal rate)
- Ability to pass a background check
- Strong attention to detail and reliability with sensitive information
- Excellent phone presence and written communication skills
- Comfort handling both PHI (HIPAA-protected information) and confidential executive matters with discretion
- Willingness to spend portions of the workday off-site running errands
Preferred
- Prior experience in a medical or healthcare setting
- Customer service or scheduling experience

Compensation & Benefits
Pay: $21.00–$23.00 per hour, depending on experience
