The Family OT is a neurodiversity-affirming, trauma-informed occupational therapy practice dedicated to helping children, adults, and families thrive. We are looking for a warm, organized, and dependable Assistant Administrative Coordinator to support our administrative team and help create an exceptional experience for every family who walks through our doors.
This is an excellent opportunity for someone looking to grow with a mission-driven practice. The position will begin at approximately 15 hours per week, with the opportunity to increase hours and potentially grow into a full-time administrative assistant or leadership role as our practice continues to expand.
Schedule
- Part-time, approximately 15 hours per week

Responsibilities
- Welcome clients and families with a friendly, professional attitude.
- Answer phones, texts, and emails.
- Assist with scheduling appointments and managing therapist calendars.
- Support insurance verification, authorizations, and administrative paperwork.
- Maintain accurate client records and documentation.
- Prepare treatment rooms and common areas to ensure the clinic remains clean, organized, and welcoming.
- Assist with office organization, inventory, and supplies.
- Support special projects and day-to-day clinic operations.
- Collaborate closely with the Administrative Coordinator and therapy team.
Qualifications
- Excellent organizational and time management skills.
- Strong communication and customer service skills.
- Comfortable learning new technology and office software.
- Detail-oriented with the ability to manage multiple priorities.
- Positive, dependable, proactive, and eager to learn.
- Administrative, medical office, or customer service experience preferred but not required.
Compensation & Growth
- $22–25/hour, depending on experience.
- Part-time position beginning at approximately 15 hours per week.
