Position Summary
HealthWorksPros is expanding its Behavioral Health Division and seeking a compassionate, highly organized IOP Intake & Program Coordinator to support our evening Intensive Outpatient Program (IOP).
This is a part-time, temporary-to-permanent opportunity designed to grow as program census and operational needs increase. The position will initially average approximately 15–20 hours per week, with the potential for increased hours and eventual full-time employment based on program growth and individual performance.
The IOP Intake & Program Coordinator serves as an important first point of contact for prospective patients and referral sources. The ideal candidate combines excellent patient-service skills with strong organization, sound judgment, and an understanding of behavioral health and substance-use treatment.
This is not simply a scheduling position. The Coordinator helps move patients successfully from initial referral through screening, assessment, admission, orientation, and ongoing program participation.
Key Responsibilities:
- Receive and respond to new IOP referrals and patient inquiries
- Conduct HWP's initial administrative pre-screen and gather relevant referral information
- Recognize potential clinical or safety concerns and immediately escalate them to the appropriate clinical professional according to HWP protocols
- Coordinate and schedule clinical intake assessments, psychiatric evaluations, orientation, and related appointments
- Maintain an accurate referral and admission pipeline from initial inquiry through program enrollment
- Follow up with prospective patients to facilitate completion of required intake steps
- Coordinate with referral sources, providers, and other authorized parties as appropriate
- Assist with insurance verification and authorization tracking
- Maintain accurate patient information and workflow status in CharmHealth
- Prepare and maintain IOP schedules and census information
- Track attendance for evening IOP sessions
- Identify missed sessions and initiate appropriate administrative follow-up and clinical notification
- Assist clinical staff with records, scheduling, documentation workflow, and program coordination
- Help identify barriers to patient participation and communicate concerns to the clinical team
- Support patient engagement and continuity throughout the IOP episode
- Maintain strict confidentiality and comply with HIPAA, HWP policies, and applicable behavioral-health requirements
- Support program reporting, quality improvement, and other Behavioral Health Division activities as assigned
What We Are Looking For
We are particularly interested in candidates who are warm, calm, organized, persistent, and comfortable communicating with individuals experiencing behavioral-health or substance-use challenges.
The successful candidate should be able to establish rapport while maintaining appropriate professional boundaries and should understand when an issue requires clinical escalation rather than administrative intervention.
Preferred Qualifications
- Previous experience in behavioral health, substance-use treatment, mental health, healthcare intake, patient coordination, or a related environment
- Experience with an IOP, outpatient behavioral-health program, detoxification/residential program, community mental-health organization, or SUD treatment setting strongly preferred
- CADC credential, CADC intern status, or active pursuit of CADC certification preferred, but not required
- Experience conducting patient intake or pre-screening
- Experience scheduling and coordinating multiple patients and providers
- Familiarity with health insurance verification and authorization processes
- Experience using an EHR; CharmHealth experience is a plus
- Strong telephone and interpersonal communication skills
- Excellent organization and follow-through
- Comfortable working with confidential and sensitive patient information
- Ability to recognize urgent concerns and follow established escalation procedures
- Ability to work independently while functioning effectively as part of a multidisciplinary clinical team
Schedule
This position will initially average approximately 15–20 hours per week.
Because HealthWorksPros currently operates an evening IOP, candidates must have flexibility to provide designated evening program support in addition to scheduled daytime intake, referral, and follow-up activities. Hours may increase as program census and referral volume grow.
Compensation
$23.00–$25.00 per hour, depending upon directly relevant experience, behavioral-health/SUD experience, credentials, and demonstrated capabilities.
The position may also become eligible for HWP's performance-based incentive program in accordance with applicable program and employee performance requirements.
Temporary-to-Permanent Opportunity
HealthWorksPros is intentionally launching this position on a part-time, temporary-to-permanent basis as our IOP census develops.
