Job Overview
We are seeking a dynamic and friendly Front Desk Representative The Front Desk Representative serves as the first point of contact for patients, visitors, and healthcare providers. This position is responsible for delivering exceptional patient service through professional in-person reception and telephone management, ensuring accurate scheduling, registration, and administrative support in a fast-paced medical environment.
Duties
Patient Reception and Front Desk
- Greet patients and visitors warmly and professionally upon arrival; verify identity and purpose of visit
- Check patients in and out using the electronic health record (EHR) system; confirm demographic and insurance information
- Collect co-pays, deductibles, and outstanding balances at time of service; issue receipts and reconcile daily cash drawer
- Maintain a clean, organized, and welcoming front desk and waiting area
- Notify clinical staff of patient arrivals and communicate wait time delays to patients
- Prepare and distribute new patient paperwork (HIPAA notices, intake forms, consents)
- Scan and index documents into the patient chart accurately
Call Center and Telephone Operations
- Answer a multi-line phone system promptly and professionally; route calls to the appropriate department or provider
- Schedule, reschedule, and cancel patient appointments according to provider templates and scheduling protocols
- Respond to patient inquiries regarding office hours, services, directions, referrals, and general questions
- Document telephone messages accurately and deliver to the appropriate staff in a timely manner
- Process prescription refill requests per established protocols
- Follow up on appointment reminders, no-shows, and recall campaigns as directed
Education and Experience
- High school diploma or GED required; Associate's degree or medical office certification preferred
- Minimum 1–2 years of experience in a medical office, clinic, or call center setting preferred
- Experience with electronic health record (EHR) systems; Epic, Athenahealth, eClinicalWorks, or similar preferred
- Medical terminology coursework or equivalent on-the-job experience preferred
Pay: $18.00 - $20.00 per hour
