Aspire Health Partners, Inc. (Aspire), is a non-profit 501(c)3 behavioral healthcare organization. Aspire Health Partners is Florida’s largest Behavioral Health Non-Profit that provides a full continuum of behavioral healthcare services across six (6) Central Florida Counties; Brevard, Hillsborough, Lake, Orange, Osceola and Seminole.
As Purchasing Clerk at Aspire Health Partners, your job purpose will be to provide a multitude of duties to assist in the procurement process of medical products, office supplies and furniture wherein specifications are well defined. These functions include;
- Process purchase requisitions - gather required authorizations and signatures.
- Manage the 3-way matching requirement for all Purchase Orders: P'Reqs, POs, Packing slips, invoices. Create purchase orders in the GP.
- Once the payment package is complete, scan documents and sent to AP/Finance.
- Maintain and expand vendor relationships.
- Research and obtain competitive pricing on Purchase Requests. Place orders on vendor websites, platforms or by phone.
- Document and code credit card orders for items not purchased on credit accounts.
- Provide month end reports to AP.
- Check on the status of any back ordered items and reconcile partial billings due to back orders.
- Maintain purchasing supply room inventory reports and order supplies as required to maintain par levels for the supply room.
- Process written and verbal requests for PPE.
- Assist depts in establishing PPE par levels and manage revisions to their inventories.
- Allocate supply room transfers to cost center accounts and provide month end reports.
- Check deliveries for items requiring immediate delivery, manage order pickups, shopping and drop off requirements for any goods with immediate needs.
- Assist in the implementation of a web-based Procurement Platform. You may be asked to serve as the procurement platform lead to interface with the platform host to update the formularies, update user lists, access passwords, authorization hierarchy changes as well as changes to the business rules.
- Coordinate next day’s deliveries. Notify requisitioners that packages are received for local pick up.
- Coordinate the deliveries of all orders; confirm packaging is addressed to the proper departments. lnput receipts against vendor POs.
- Coordinate returns - create Shipper and Vendor return labels and repackage items as required.
- Manage the document shredding process – act as liaison between AHP depts and our vendors.
- Most importantly, all functions must be completed while maintaining high standards of ethical and professional conduct while adhering to agency policies and procedures.
Qualifications
- High School Diploma or GED preferred
