Role and responsibilities
The ideal Recruiting Assistant must be self-motivated, approachable, and professional with excellent phone and communication skills. This role supports the driver recruiting team by guiding applicants through the hiring process, verifying employment and qualification information, maintaining accurate records, and helping qualified drivers move efficiently from application to orientation.
This position requires strong organization, attention to detail, consistent follow-up, and excellent communication with professional drivers, recruiters, safety/compliance personnel, and operations teams. It has the potential of growing into a recruiting or compliance career. It requires regular in-office attendance Monday-Friday during normal business hours.
· Review Class A CDL driver applications for completeness and minimum hiring qualifications.
· Contact applicants to collect missing information and explain next steps in the hiring process.
· Process background checks, motor vehicle records, employment verifications, Clearinghouse queries, drug-screening documents, and other required reports.
· Verify CDL status, medical certification, driving experience, employment history, and other qualification information.
· Maintain complete and accurate applicant files in the applicant tracking system.
· Update applicant statuses, notes, documents, and recruiter activity promptly.
· Schedule interviews, road tests, physicals, drug screens, travel, and orientation appointments.
· Communicate regularly with candidates to maintain engagement and reduce application drop-off.
· Coordinate with recruiters, Safety, Compliance, Operations, and Orientation teams to resolve hiring issues.
· Identify missing, inconsistent, or potentially disqualifying information and escalate it for review.
· Assist recruiters with follow-up calls, lead management, hiring events, and recruiting campaigns.
· Track applicants through each stage of the recruiting pipeline and help ensure hiring goals are met.
· Protect confidential applicant and company information.
· Follow company policies and applicable DOT and FMCSA hiring requirements.
· As part of the Driver Services Team, assist in answering phones and driver support.
· Perform additional recruiting and administrative duties as assigned.
Requirements:
· At least one year of administrative support, recruiting coordination, transportation, logistics, or customer-service experience preferred.
· Experience processing Class A CDL driver applications strongly preferred.
· Familiarity with DOT driver qualification requirements, FMCSA regulations, the Drug and Alcohol Clearinghouse, and driver qualification files preferred.
· Comfortable working with applicant tracking systems, background-screening platforms, Microsoft Office, email, and web-based applications.
· Strong written and verbal communication skills.
· Excellent attention to detail and recordkeeping ability.
· Able to manage multiple applicants, deadlines, and priorities in a fast-paced environment.
· Professional, dependable, and comfortable speaking with drivers throughout the day.
· Able to handle sensitive and confidential information appropriately.
