Weston & Pape | Stuart, FL | Full-time, In-Office
$19.00 - $23.00/hour base, plus bi-weekly, monthly, and quarterly performance bonuses
About the Role
We handle plaintiff-side personal injury cases and we handle them with great care and attention to detail. Our case managers are the primary point of contact for injured clients from intake through demand and settlement.
This is a pre-litigation position. You will own files from the day the client signs through treatment, records collection, demand, and settlement negotiation. That means no discovery deadlines, no deposition coordination, no court calendar, and no trial prep. Your entire focus is moving files forward and taking care of clients while they treat. You will have extensive contact with clients on a daily basis.
This is not a filing job. You will own a caseload and be the person our clients trust to answer the phone and know their file. We're hiring someone who wants a career, not a stopgap. This role has a defined advancement path, and we promote from within.
What You'll Do
- Serve as the day-to-day contact for a caseload of injured clients, providing consistent updates and returning every call same-day
- Order, track, and follow up on medical records, bills, and lien documentation
- Coordinate with medical providers, adjusters, and referral sources
- Maintain complete, accurate, current case files in our case management system
- Prepare billing worksheets and assemble demand packages under attorney supervision
- Track treatment status and flag case-critical developments to the attorney immediately
- Calendar deadlines and keep every file moving toward demand
Our Environment
You will not find a dress code here. People dress comfortably, express themselves, and laugh during the day. There is nothing casual about the work itself. Our standards are high and our processes are deliberate, and the attorney's name goes on everything that leaves this office. We want people who understand that a relaxed, lively workplace and exacting, precise work are not in conflict.
What We're Looking For
- Exceptional written and verbal communication. You will be writing to clients, providers, and adjusters daily, and your writing represents the firm
- Genuine empathy paired with professional boundaries. Our clients are hurt, frustrated, and often scared, and the right person handles that with patience without being pulled off-course
- Pride in the work. We want someone who cares how the product looks when it goes out the door, not someone who just closes the task
- A strong sense of urgency. Files move here, and clients feel the difference
- Follows systems. We have built our processes over many years and they work. We want someone who executes them faithfully and then earns the standing to suggest improvements
- Detail-obsessed. In this work, a missed date or a wrong number has consequences
- Organized under volume. You will manage many files at once and nothing can fall through
- Coachable. You take direct feedback, apply it, and take notes
- Reliable and present. In-office attendance is non-negotiable for this role
Preferred, Not Required
- Spanish fluency, written and verbal
- Prior experience on the plaintiff's side of personal injury
- Filevine experience (or another case management platform such as Litify, Smart Advocate, or CASEpeer)
- Familiarity with FL auto insurance, PIP/no-fault, health insurance EOBs, or lien resolution
If you don't have personal injury experience, but you're sharp, organized, and serious about building a career here, apply anyway. We provide structured, patient training on our systems. You will not be thrown into a caseload and left to figure it out.
Compensation
Base: $19.00 - $23.00/hour depending on experience plus the opportunity to earn bi-weekly, monthly, and quarterly performance bonuses.
Bonuses: We run bi-weekly, monthly, and quarterly incentives tied to defined, measurable goals. Every target is given to you on day one, so you always know exactly what you're working toward.
Realistically: new hires in the training phase should expect modest bonus earnings while they learn our systems. Case managers who are up to speed regularly earn an additional $3-5/hour through incentives, and long-tenured team members earn meaningfully more. We are telling you this plainly because we don't want anyone taking this job on a promise we didn't set up front.
Benefits
- Health insurance: we make our group plan available to employees. Premiums are employee-paid. We'd rather tell you that now than at the offer stage
- Paid time off
- Paid holidays: We observe the Martin County Clerk of Court holiday schedule
Growth
- Defined path to senior case manager and paralegal roles
- Increasing bonus and incentive earnings with tenure and performance
- Greater caseload ownership and autonomy as you demonstrate mastery of our systems
- We promote from within
