Job Summary
Fogg & Co. Construction Inc. is seeking an organized, proactive, and detail-oriented Construction Administrator to join our growing team. This role is ideal for someone who enjoys balancing office responsibilities with occasional field visits to support ongoing residential construction projects.
The Construction Administrator will be responsible for coordinating project documentation, managing contracts, preparing AIA documents and payment applications, scheduling, client communication, subcontractor coordination, billing support, and general office operations. The ideal candidate is highly organized, communicates professionally, and can manage multiple projects in a fast-paced environment while maintaining exceptional attention to detail.
Responsibilities
- Coordinate day-to-day administrative operations for multiple construction projects.
- Prepare and maintain project files, contracts, proposals, purchase orders, change orders, RFIs, submittals, and other project documentation.
- Prepare, review, and manage AIA contracts, AIA payment applications, change orders, lien waivers, and supporting project documentation.
- Assist with project scheduling and coordinate timelines with clients, subcontractors, suppliers, architects, and vendors.
- Track project progress and communicate updates between the office and field team.
- Visit job sites as needed to document progress, gather project information, take photographs, and assist with project coordination.
- Assist with project estimating, material procurement, and purchasing coordination.
- Prepare invoices, payment applications, accounts receivable reports, and support accounts payable functions.
- Request, review, and maintain Certificates of Insurance (COIs), permits, warranties, and project closeout documentation.
- Review contract documents and ensure compliance with contractual requirements throughout the duration of each project.
- Coordinate inspections, deliveries, subcontractor scheduling, and project logistics.
- Answer phones, manage emails, schedule meetings, and provide professional customer service to clients, vendors, and subcontractors.
- Maintain organized digital and physical project files and ensure all documentation is current and accurate.
- Monitor project budgets and assist with cost tracking and financial reporting.
- Ensure projects remain organized and on schedule by following up on outstanding items with clients, vendors, architects, and subcontractors.
- Perform additional administrative and project support duties as assigned.
Qualifications
- Previous experience in construction administration, project coordination, office management, or a related field preferred.
- Fluent in AIA contract documents, AIA payment applications, and construction billing procedures.
- Experience preparing and managing AIA owner-contractor agreements, subcontract agreements, change orders, lien waivers, and associated project documentation.
- Strong understanding of construction contracts, insurance requirements, Certificates of Insurance (COIs), permits, and project closeout documentation.
- Experience with accounts payable, accounts receivable, invoicing, and construction billing.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Adobe Acrobat.
- Experience with QuickBooks and construction management software such as Procore, Buildertrend, Bluebeam, or similar platforms is preferred.
- Ability to read and interpret construction drawings and specifications is a plus.
- Comfortable visiting active job sites and working in both office and field environments.
- Self-motivated with excellent problem-solving abilities and attention to detail.
- Ability to prioritize tasks, meet deadlines, and work independently in a fast-paced environment.
- Professional phone etiquette and strong client relationship skills.
- Valid driver's license and reliable transportation.
