QUALIFICATIONS:
· Associates degree required; bachelor’s in business administration, public administration, or a related field preferred
· 2 or more years of progressively responsible administrative experience
· Experience supporting senior executives and a Board of Directors preferred
· Demonstrated ability to maintain a calm, professional, and positive demeanor while managing multiple priorities simultaneously
· Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
· Exceptional organizational, time management, and project management skills
· Strong written and verbal communication skills
· Awareness of and sensitivity to the cultural and socioeconomic characteristics of the client population
· Valid Oklahoma driver’s license
· Ability to be insured under the organization’s automobile insurance carrier
· Ability to successfully pass a pre-employment background check and drug screening
· Must be twenty-one (21) years of age or older, per OKDHS contract requirements
JOB RESPONSIBILITIES:
· Provide comprehensive administrative support to the executive leadership team
· Draft, edit, and proofread correspondence, reports, presentations, and executive communications
· Prepare and distribute agendas and supporting materials for internal meetings; attend assigned meetings and provide accurate meeting minutes for recording and distribution
· Coordinate meetings, interviews, and events involving employees, residents, interns, volunteers, and community partners
· Assist with preparation for audits, accreditation reviews, and regulatory reporting
· Assist in maintaining the organization's training logs by tracking required training, monitoring completion status, updating records, and coordinating with department leaders to ensure compliance with mandatory training requirements
· Complete new employee onboarding in the absence of the Human Resources Manager
· Assist with planning, coordinating, and implementing agency events
· Maintain organized electronic and physical filing systems for executive, Board, and organizational records
· Create, update, standardize, and maintain agency forms, directories, schedules, reports, fillable PDFs, SharePoint documents, and master electronic files to ensure consistency and accessibility
· Perform general administrative duties, including preparing correspondence, copying, scanning, filing, and maintaining confidential records
· Serve as an administrative liaison between the Board of Directors, executive leadership, and internal stakeholders
· Coordinate Board and committee meetings, including preparation and distribution of agendas and meeting materials
· Maintain Board records, governance documents, resolutions, policies, and historical files
· Other duties as assigned by the Executive Director
PHYSICAL REQUIREMENTS:
· Ability to sit for extended periods while performing desk and computer work
· Frequent use of hands and fingers for typing, writing, and operating office equipment
· Occasional standing, walking, bending, and reaching
· Ability to lift and carry up to 20 pounds (e.g., office supplies, paper boxes)
Pay: $23.00 - $28.00 per hour
