The Law Office of Jonathan D. Mishkin, P.C. is seeking a detail-oriented, organized and experienced, full-time Legal Assistant to join our Portland office located in the Sellwood neighborhood. Please note that this is a strictly in-house position with no remote work options. Employment begins with a 90-day probationary period. Upon the successful completion of this period – evaluated on performance and attendance – we anticipate extending an offer of permanent full-time employment .
Duties:
· Manage probate matters comprehensively from intake to closing, including client onboarding, template-based document drafting and electronic filing
· Oversee financial tracking for estates by maintaining bank ledgers from statements, preparing detailed accountings, and drafting distribution statements.
· Serve as a primary point of contact for clients, managing regular communication via phone and email with a high level of professionalism.
· Format and prepare estate planning documents to ensure accuracy and readiness for formal execution and signings.
· Collect, organize, and maintain client documents and electronic case files to ensure seamless data accessibility and compliance.
· Support the tax and trust practice by preparing powers of attorney, drafting and e-filing notices of appearance, and finalizing discovery responses.
· Manage discovery production by Bates-labeling documents and creating comprehensive production logs.
· Draft and electronically record real estate deeds and corresponding tax exemption affidavits.
· Provide reliable administrative backup, covering reception during breaks to manage multi-line phones, mail distribution, and faxes.
· Execute additional administrative and case-related duties as assigned to support overall firm operations.
· Other duties as assigned.
Qualifications:
· An associate degree or paralegal certificate
· Minimum five (5) years’ office experience in a law firm
· Minimum two (2) years’ probate experience in Oregon
· Typing speed of at least 65 words per minute
· Advanced proficiency in a PC environment
· Advanced proficiency in a cloud storage environment
· Advanced proficiency in Microsoft Word and Excel, Acrobat Pro
· Proficiency in Oregon and US Tax Court electronic filing platforms
· Rigorous attention to detail and strict adherence to attorney-client privilege and ethical rules regarding confidentiality
· Must be reliable, punctual, and dependable
· Possess excellent communication skills and grammar
Schedule is Monday through Friday, 8 a.m. to 5 p.m. in a casual business environment with free parking. Work attire is business casual.
Hourly pay up to $43.00, commensurate with experience and skills. Benefits include paid medical (health, dental, and vision) insurance (effective first month after hire), 401(k) (effective after 90 days), PTO (after 90 days), and paid holidays.
