Patient Services & Clinical Support Specialist

Position Overview
The Patient Services & Clinical Support Specialist is a hybrid position combining front desk reception, administrative medical support, and basic patient treatment assistance.
This is an important position within the clinic that helps keep both the front office and clinical areas running smoothly. The ideal candidate is personable, professional, highly organized, comfortable working with patients, and willing to learn a variety of responsibilities.
A background in a medical office, front office, medical assisting, patient care, or healthcare setting is a plus.

Essential Functions & Responsibilities
Front Office & Patient Services
- Manage electronic medical records (EMR) systems.
- Schedule and coordinate patient appointments.
- Check patients in and out efficiently.
- Answer phones and respond to patient inquiries promptly and professionally.
- Handle billing and insurance inquiries.
- Collect and accurately handle patient payments.
- Communicate effectively with providers, nurses, and other team members.
- Maintain a clean, organized, and welcoming front office.
- Multitask with precision and attention to detail.
- Gather and maintain knowledge regarding supplements, services, and wellness offerings.
Clinical & Administrative Support
- Assist providers and clinical staff with administrative medical tasks.
- Process and route laboratory orders to the appropriate provider.
- Assist with pharmacy orders, refill requests, and prescription-related administrative tasks according to established workflows.
- Send and track laboratory, imaging, and other medical orders.
- Assist with faxing, scanning, filing, and maintaining accurate patient records.
- Monitor task queues and ensure requests are directed to the appropriate provider or team member.
- Communicate with pharmacies, laboratories, and other outside facilities as needed.
- Maintain strict patient confidentiality and follow HIPAA requirements.
Treatment & Patient Support
- Assist with bringing patients to and from treatment areas.
- Prepare treatment rooms and equipment according to established protocols.
- Assist with patient setup for Hyperbaric Oxygen Therapy (HBOT) and cryotherapy.
- Assist patients safely into and out of HBOT and cryotherapy equipment after appropriate training.
- Follow established treatment and safety protocols.
- Monitor patients during treatments within the scope of the position and promptly notify the appropriate clinical team member of concerns.
- Clean, sanitize, and reset treatment areas between patients.
- Provide patients with basic treatment instructions and logistical information as directed by the clinical team.
- Assist with other patient-support tasks as trained and assigned.
Qualifications
- Experience in a medical office, front office, medical assisting, patient care, or healthcare environment preferred.
- Customer service experience strongly preferred.
- Strong communication and interpersonal skills.
- Excellent time-management and organizational skills.
- Ability to multitask while maintaining accuracy.
- Comfortable working with patients in a clinical environment.
- Responsible, accountable, and detail-oriented.
- Understands and upholds HIPAA and patient confidentiality.
- Some understanding of medical terminology preferred.
- Comfortable learning EMR systems and new technology.
- Basic computer skills.
- Microsoft Word and Excel.
- Ability to learn and follow clinical, safety, and treatment protocols.
- Ability to work collaboratively with providers, nurses, and administrative team members.
- Willingness to assist where needed and take on a variety of responsibilities.
