The Events Coordinator supports the planning, coordination, and execution of Habitat for Humanity of Greater Los Angeles' fundraising, volunteer, cultivation, and community events. This position provides administrative, logistical, and operational support while coordinating event systems, hospitality, inventory, volunteer engagement, and cross-departmental activities to help ensure successful event experiences and efficient department operations. Specific responsibilities and event assignments may vary based on departmental priorities, individual strengths, and organizational needs.
Event Planning, Coordination & Logistics
Coordinate planning and logistics for fundraising events, volunteer build days, donor cultivation events, meetings, and community engagement activities.
- Assist with event timelines, project plans, production schedules, and event checklists.
- Coordinate vendor communications, rental orders, deliveries, permits, certificates of insurance, and event logistics.
- Support event setup, execution, breakdown, and post-event evaluations.
- Coordinate event materials, signage, supplies, and equipment needed for successful event execution.
- Assist with guest management, event volunteer staffing, and day-of event operations
Administrative & Project Support

Provide administrative and project coordination support to ensure efficient event planning and department operations.
- Process invoices, check requests, Gift-in-Kind documentation, and event budget reconciliation.
- Prepare event materials, reports, and other event-related documentation.
- Maintain event calendars, planning documents, project management systems, and historical records.
- Maintain organized digital filing systems, templates, and team resources.
- Conduct research on vendors, products, pricing, and event industry best practices.
- Assist with sponsorship fulfillment tracking and other administrative projects as assigned.
Event Operations, Hospitality & Inventory Management

Support operational readiness for events through effective inventory management, hospitality coordination, and event asset organization.
- Coordinate or assist with volunteer hospitality for build sites and special events.
- Maintain event inventory, hospitality supplies, equipment, and event assets.
- Develop and maintain inventory records, checklists, and standard operating procedures.
- Coordinate preparation, transportation, setup, return, and storage of event materials.
- Assist with maintaining organized storage areas and ensuring equipment is event-ready.
Relationship Management & Cross-Departmental Collaboration
- Support and coordinate Event Support Volunteers before, during, and after events.
- Collaborate with Volunteer Services, Corporate Relations, Marketing & Communications, Finance, Construction, and other departments.
- Provide excellent customer service to volunteers, donors, sponsors, vendors, and community partners.
- Represent Habitat LA professionally at all events and public engagements.
- Perform other duties as assigned in support of the Resource Development Department.

At least 1–2 years of experience supporting events, volunteer activities, fundraising initiatives, hospitality, or project coordination.

Strong organizational and time-management skills, with the ability to manage multiple events, deadlines, and priorities simultaneously.

Experience coordinating event logistics, vendors, rentals, deliveries, and supplies

Proficiency in Microsoft Office and familiarity with project-management, event-management, or donor database systems.

Strong administrative skills, including maintaining calendars, records, invoices, budgets, reports, and digital filing systems.

Ability to collaborate effectively with staff, volunteers, donors, sponsors, vendors, and community partners.

Detail oriented, resourceful, and able to identify and resolve logistical issues in a fast paced environment.

Availability to work occasional evenings, weekends, based on event schedules.

Ability to travel to event locations throughout Greater Los Angeles and reliably transport or coordinate event materials.

Ability to perform event setup and breakdown, including standing for extended periods and lifting or moving supplies and equipment,

Pay Range: $22.00 - $25.00/hr.
Salary offers are based on several factors, including job-related knowledge, experience, and qualifications. Offers are between the entry to mid-level range.
