Position Summary
The Office Manager plays a central role in keeping our day-to-day operations running smoothly. This position is responsible for handling invoices and payments, tracking estimates, following up with customers, coordinating with vendors, answering incoming calls, and keeping our internal systems organized.
You’ll be working across multiple parts of the business, making sure nothing slips through the cracks. The right person is detail-oriented, proactive, and comfortable taking ownership of their work.

Objectives (Key Duties)
- Answer incoming calls and handle customer inquiries professionally
- Enter and manage invoices, payments, and financial records accurately
- Send contracts, payment links, and assist with collections
- Maintain organized files across Notion, Google Drive, and internal systems
- Upload and manage job documentation including permits, photos, cost sheets, and contracts
- Assist with sub agreements, COIs, and internal tracking
- Handle general office responsibilities to keep things running smoothly
- Deliver a high level of client experience by staying responsive, organized, and professional in every interaction
- Call completed jobs for customer satisfaction and reviews

Education & Experience
- 3+ years of experience in administrative, operations, or customer service roles preferred
- Strong technical proficiency with computers, including experience using software platforms, CRMs, and internal systems
- Experience in construction or home improvement is a plus
Physical Requirements
Ability to remain seated or standing for extended periods
Light lifting up to 20 lbs for office supplies and materials
