Administrative Service Assistant – Service Division
Position Summary
The Administrative Assistant provides administrative, customer service, scheduling, and
operational support to ensure the efficient daily operation of the office. This position
serves as a key point of contact for customers, technicians, vendors, and management.
You will be expected to demonstrate initiative, maintain confidentiality, and provide
exceptional customer service while supporting company goals.

Essential Duties and Responsibilities
Customer Service
Answer incoming telephone calls and serve as the first point of contact for
service requests (repair, warranty and/or maintenance).
Gather complete customer information using the company service questionnaire,
review with the Service Manager and create new customer records as needed.
Troubleshoot customer concerns over the telephone when appropriate.
Process service requests internally.
Maintain accurate customer and job records.
Scheduling & Dispatch Support
Serve as a backup to develop technician routes and daily schedules.
Coordinate hotel or other reservations when required.
Administrative Support
Scan, file, organize, and maintain electronic and paper records.
Review service tickets/schedules and complete the processing form for billing.
Serve as backup for billing and quotation preparation.
Enter and maintain customer landmarks within our tracking software.
Assist with mailing, copying, and general office functions.
Additional Responsibilities
Responsibilities may be modified, expanded, reassigned, or eliminated at any time
based on business needs. Employees are expected to perform other duties as
assigned.
Qualifications
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Ability to prioritize multiple tasks in a fast-paced environment.
Professional telephone etiquette.
Proficiency with Microsoft Office and the ability to learn company software.
Strong attention to detail and accuracy.
Ability to maintain confidentiality.
Dependable attendance and punctuality.
Physical Requirements
Prolonged periods of sitting, typing, and computer work.
Frequent telephone communication.
Occasional lifting of office supplies or packages up to 25 pounds.
Ability to move throughout the office and warehouse as needed.

Pay: $17.00 - $22.00 per hour
