Job Overview
We are seeking a dynamic and organized Part-time Assistant to the Pastor to support the spiritual and social development of an inclusive Christian congregation. This role offers an exciting opportunity to contribute to the smooth operation of church activities, coordinate events, and provide vital clerical support. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ensuring the Pastor’s schedule and outreach efforts are efficiently managed. Duties
- Manage and coordinate the Pastor’s calendar, including scheduling appointments, meetings, and church events using Microsoft Outlook Calendar and Google Workspace.
- Assist the Pastor in weekly Sunday School classes and Worship.
- Assist the Pastor in weekly staff meetings and ministerial assignments
- Assist with focusing on outreach to our youth in the community and church
- Attend weekly briefings with the Pastor
- Assist with event planning and organizing church functions, community outreach programs, and special services.
- Provide executive administrative support by handling correspondence, proofreading documents, transcribing notes, and preparing reports.
- Support office management tasks such as filing, data entry, bookkeeping with QuickBooks, and maintaining confidential records with discretion.
- Facilitate internal communication among staff, volunteers, and congregation members through email, video conferencing software, and multi-line phone systems while maintaining professional phone etiquette.
- Arrange business travel accommodations for the Pastor as needed and coordinate logistics for conferences or retreats.
- Collaborate with church leadership to ensure smooth project coordination and timely completion of tasks.

Qualifications
- Proven experience in administrative roles such as personal assistant or executive assistant within the church.
- Strong organizational skills with the ability to manage multiple priorities efficiently.
- Proficiency in productivity software including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and Docusign for document signing.
- Technical proficiency in video conferencing software (Zoom, Microsoft Teams) and familiarity with multi-line phone systems.
- Excellent writing skills with attention to detail for proofreading and transcription tasks.
- Experience with bookkeeping software like QuickBooks and basic office management practices.
- Exceptional interpersonal skills with a professional phone manner and ability to handle confidential information responsibly.
- Ability to work independently with minimal supervision while collaborating effectively within a team environment.
