About the Role
Willow & Ivy Learning Studio LLC is a growing education company operating four programs — Learn & Grow Tutoring Company, The Education Shift, Verity Academic, and Educator Career Shift. We are seeking a reliable and detail-oriented Finance Operations Coordinator to manage the day-to-day financial activity across all four businesses. This role works in close coordination with our Finance Review Specialist to ensure full accuracy and accountability at all times.
Key Responsibilities
- Process and manage all contractor payments through Gusto, including 1099 tracking and payment records
- Monitor and categorize all transactions across Novo business banking accounts on a weekly basis
- Track all incoming invoices, payments received, and outstanding balances across all business lines
- Maintain organized, up-to-date financial records in Wave or equivalent accounting software
- Flag any unusual transactions, discrepancies, or compliance concerns to the CEO immediately
- Prepare a weekly activity summary to be submitted to both the CEO and the Finance Review Specialist
- Manage any additional financial platforms or tools as directed by the CEO
Qualifications
- Experience in bookkeeping or financial administration (required)
- Proficiency with Gusto and business banking platforms (strongly preferred)
- Experience with Wave, QuickBooks, or similar accounting software
- Extremely detail-oriented and organized
- Trustworthy and discreet — this role involves access to sensitive financial accounts
- Comfortable working independently and managing recurring tasks without close supervision
- Familiarity with small business or multi-entity financial management is a plus

Important Note
This role operates within a two-person accountability structure. All activity is subject to review by a Finance Review Specialist. Master account credentials are held by the CEO. Any payment or transfer above the approved threshold requires CEO authorization before processing.
Compensation
Compensation details will be shared during the interview process. Role begins with a paid one-week trial.
Pay: $25.00 - $30.00 per hour
