We are seeking a polished, highly organized Patient Experience Concierge to join our founding team as we open a premier plastic surgery practice in beautiful St. Augustine, Florida.
This is much more than a traditional front desk position. You will be the first impression of our practice and play a critical role in guiding prospective patients from their very first inquiry through their consultation experience. What You'll Do
As our Patient Experience Concierge, you will:
Create Exceptional First Impressions
- Welcome every patient with warmth, professionalism, and genuine hospitality
- Answer incoming calls, texts, emails, and website inquiries promptly
- Deliver a luxury patient experience from the very first interaction
- Ensure our reception area always reflects our high standards
Guide New Patient Consultations
- Educate prospective patients about our services and consultation process
- Schedule consultations with the appropriate provider
- Provide surgical pricing and consultation information
- Build rapport while helping patients feel informed and comfortable
Manage Patient Leads
- Respond quickly to new inquiries across multiple communication channels
- Follow up consistently with prospective patients who have not yet scheduled
- Track lead sources and maintain accurate CRM documentation
- Help improve consultation booking and conversion rates
Keep the Front Office Running Smoothly
- Check patients in and out efficiently
- Schedule, confirm, and optimize appointments
- Maintain accurate patient records
- Process payments and assist with daily reconciliation
- Support overall office organization and workflow
Support Practice Growth
- Participate in patient engagement initiatives and special events
- Identify opportunities to enhance the patient experience
- Collaborate with leadership to continually improve practice operations
What We're Looking For
We're looking for someone who is naturally service-oriented, detail-focused, and enjoys helping people during an important decision-making process.
Preferred Qualifications
- 3–5 years of experience in plastic surgery, aesthetics, luxury hospitality, concierge services, or another high-touch customer service environment
- Experience scheduling appointments and managing patient or client communications
- Sales support or lead management experience is a plus
- Comfortable using EMR systems, practice management software, CRM platforms, Microsoft Office, and multiple communication channels simultaneously
