Position Overview
The Administrative Assistant supports the sales and compliance teams by processing orders, managing customer records, maintaining or ERP and HubSpot CRM, reviewing compliance documents, and ensuring accurate communication between customers and internal departments. This role requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Provide administrative support to the sales and compliance teams
- Process customer orders and ensure invoice and order accuracy
- Create and maintain customer accounts and records in HubSpot CRM
- Keep customer information, sales activity, and communications up to date
- Communicate with customers and internal teams regarding orders, documents, and account updates
- Prepare sales quotation, customer, and compliance reports
- Review customer licenses, permits, tax certificates, and required documentation
- Request and track missing or updated compliance documents
- Upload and maintain documents in state tax portals, licensing systems, and compliance platforms
- Monitor license and document expiration dates and follow up on renewals
- Maintain organized customer, compliance, and sales records
- Assist with customer inquiries, order updates, and administrative projects
- Support process improvements and other duties as assigned
Requirements
- Previous administrative, sales support, compliance, or customer service experience preferred
- Experience with HubSpot CRM or similar CRM systems preferred
- Strong attention to detail and organizational skills
- Experience maintaining records, reviewing documents, and creating reports
- Proficiency in Microsoft Office (Word, Excel, Outlook), Asana, Slack, and business software
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Ability to work independently and as part of a team

Work Schedule
Monday – Thursday: 8:00 AM – 5:30 PM
Friday: 8:00 AM – 12:00 PM
Pay: $26.00 per hour
