St. Helena United Methodist Church is seeking an organized, dependable and warm Office Manager to support the day-to-day administrative life of the church. This person serves as a central point of communication and coordination for the congregation, staff, volunteers, and community partners. The ideal candidate is self-motivated, detail-oriented, hospitable, and comfortable working in a faith-based environment with a collaborative spirit.
Primary ResponsibilitiesCommunications & Worship Support
- Coordinate weekly communications with the Pastor for church bulletins, announcements, and e-blasts, and annual conference
- Create and send weekly church e-blasts through Constant Contact
- Prepare and print Sunday worship bulletins and supporting materials
- Email bulletins and worship materials to the livestreaming team
- Print weekly scripture readings and place them in the sanctuary
- Maintain historical files of church bulletins and records
- Check and respond to church email and phone messages regularly
Volunteer Coordination
- Maintain volunteer sign-up sheets
- Coordinate and confirm volunteers for worship services, including ushers, scripture readers, flower volunteers, and refreshment hosts
- Coordinate monthly food collection announcements and volunteer delivery support for the St. Helena Food Pantry
Office Administration
- Sort and distribute mail appropriately
- Assist with bill processing and provide checks for required signatures
- Update and maintain church directories and records
- Maintain sacramental and statistical records including baptisms, weddings, and deaths
- Prepare and submit staff time sheets and musician payroll information on designated dates
- Answer phones and assist church members and visitors with questions and requests
- Support Leadership Council meetings by preparing agendas, copies, reminders, and minutes
Facility & Supply Coordination
- Monitor and order office and worship supplies as needed
- Check sanctuary pews and restock pens, envelopes, and other materials
- Communicate facility needs to Trustees
- Coordinate communication with cleaning staff and gardeners
- Help maintain orderly shared spaces
- Water indoor plants as needed
Qualifications
- Strong organizational and communication skills
- Ability to manage multiple tasks and meet deadlines independently
- Proficiency with email, word processing, and online communication platforms (Constant Contact experience preferred)
- Friendly and welcoming demeanor with strong interpersonal skills
- Ability to maintain confidentiality and professionalism
- Experience in office administration preferred
- Appreciation for the mission and ministry of the church
Schedule & Compensation
- Part-time position averaging 12–15 hours per week
- Flexible weekday schedule with some Sunday preparation responsibilities
- Compensation based on experience
