This position serves as the first point of contact for students, parents, visitors, and staff while providing administrative and clerical support to ensure the smooth operation of the school.
Position Summary
The Administrative Assistant provides front office support, manages attendance records, assists with student enrollment and withdrawals, maintains school records, supports health services and safety procedures, and delivers exceptional customer service to students, families, staff, and visitors.
Qualifications
- Associate degree preferred.
- Minimum one year of experience as a school secretary, receptionist, or similar administrative role.
- Experience working in a school environment preferred.
- Proficiency in Microsoft Office and standard office technology.
- Strong organizational skills with the ability to manage multiple priorities and interruptions.
- Excellent written and verbal communication skills.
- Strong interpersonal and customer service skills.
- Ability to maintain confidentiality and exercise professional judgment.
- Ability to work independently and collaboratively in a fast-paced environment.
Essential Duties and Responsibilities
- Serve as the first point of contact for students, parents, visitors, vendors, and staff.
- Greet and assist visitors while providing excellent customer service.
- Answer, screen, and route incoming calls.
- Respond to inquiries and direct individuals to appropriate personnel.
- Maintain visitor sign-in procedures and campus access protocols.
Administrative Support
- Provide clerical and administrative support to teachers and administrators.
- Prepare correspondence, reports, meeting agendas, minutes, and other documents.
- Schedule appointments, meetings, conferences, and events.
- Manage incoming and outgoing mail and communications.
- Maintain filing systems and school records.
- Assist with special projects and other duties as assigned.
Student Records and Data Management
- Enter, maintain, and update information in school databases and record systems.
- Maintain student records and ensure data accuracy.
- Assist with enrollment and withdrawal processes.
- Generate reports and provide documentation as needed.
- Support compliance with school, district, and state reporting requirements.
Attendance Management
- Serve as the school's attendance clerk.
- Maintain accurate attendance records and databases.
- Process attendance documentation from teachers and parents.
- Monitor absences, tardiness, and attendance trends.
- Communicate attendance concerns to students, parents, and administrators.
- Verify attendance documentation and maintain compliance with applicable policies and procedures.
- Assist with state reporting and attendance audits.
Health Services Support
- Provide basic first aid and emergency assistance as appropriate.
- Administer medications in accordance with school policies, physician orders, and parental authorization.
- Maintain accurate medication and health records.
- Assist in monitoring communicable disease procedures.
- Maintain confidentiality regarding student health information.
- Report significant health concerns and incidents to school administration.
School Safety and Operations
- Support school safety procedures and emergency preparedness efforts.
- Assist with safety drills and emergency response activities.
- Ensure all visitors are properly screened and documented.
- Serve as a gatekeeper for student sign-in/sign-out procedures.
Office Operations and Inventory
- Operate and maintain office equipment, including copiers, printers, telephones, and related technology.
- Monitor office supplies and submit orders as needed.
- Maintain inventory records for office materials and supplies.
- Coordinate equipment maintenance and repair requests.
Volunteer Support
- Assist with volunteer registration and recordkeeping.
- Maintain volunteer records in applicable systems.
- Support volunteer check-in and compliance procedures.
