Our students are often funding their own education through workforce programs, tax refunds, or personal sacrifice, because they believe learning a trade can change their familys future. We are currently in a rebuilding and growth phase following federal oversight and are seeking a mission-driven administrative coordinator to help support student documentation, institutional organization, and day to day operations. This role is essential to maintaining a professional learning environment and ensuring that student records, attendance, and commnication are handled with structure and accuracy.

Duties
- Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professional phone etiquette
- Coordinate scheduling and calendar management for executives and team members to optimize productivity
- Oversee vendor management, including negotiating contracts, processing invoices, and maintaining supplier relationships
- Supervise administrative staff, providing training and development opportunities to enhance team performance
- Handle bookkeeping tasks such as invoicing, expense tracking, and basic payroll processing using QuickBooks or similar accounting software
- Organize company events, meetings, and training sessions to promote team engagement and professional growth
- Maintain accurate filing systems, medical office records (if applicable), and ensure compliance with organizational policies
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Demonstrated supervising experience with the ability to lead and motivate a team effectively
- Proficiency in QuickBooks or comparable bookkeeping software for financial management tasks
- Excellent organizational skills with the ability to manage schedules, prioritize tasks, and handle multiple projects simultaneously
- Strong communication skills—both verbal and written—to interact professionally with staff, vendors, and clients
- Experience in event planning, vendor negotiations, and human resources functions such as payroll and training
- Knowledge of medical office management (preferred if applicable) or general office experience in a fast-paced environment
- Familiarity with budgeting, filing systems, front desk operations, and multi-line phone systems
- Ability to adapt quickly to changing priorities while maintaining attention to detail
