Position Summary & Responsibilities:
Position Summary:
This Legal Assistant is located in Topeka, at KBI Headquarters. The Legal Assistant provides administrative support to KBI attorneys and Executive Staff, and supports other KBI functions and personnel as needed. Routinely, collaborates and communicates with personnel in other areas of the KBI and with external partners.
Job Responsibilities may include but are not limited to the following:

Reviewing, researching (via Westlaw, PACER, statutory or legislative history and other sources), coordinating, preparing, compiling and/or copying and drafting responses to various legal or other documents in an accurate and timely fashion, including but not limited to: Kansas Open Records Act requests and other incoming correspondence, subpoenas, discovery requests, pleadings, briefs, motions, inquisition applications, inquisition subpoenas, pen registers, GPS tracking orders, affidavits, exhibits, wiretap applications, presentations, trial notebooks, etc. Where appropriate, invoicing and tracking payment for records provided. Providing draft documents and reports for review, approval and use by KBI attorneys. Performing other duties as assigned by KBI Chief Counsel and Executive Staff.

Maintaining a calendar system to ensure timely compliance with scheduled deadlines. Organizing, indexing, storing, maintaining, and/or transferring inventories of paper records; and scanning records into document management system for retention and access. Providing phone coverage for Legal Division. Answer, return, screen, and refer phone calls as appropriate while maintaining a polite and professional attitude.

Assisting KBI attorneys with state and federal court e-filing protocols, Kansas Office of Administrative Hearings (OAH) proceedings, and other court related systems/portals, and monitor pending litigation to ensure pleadings are timely downloaded and saved, dates/deadlines are calendared and anticipate the needs of outside counsel, including assisting outside counsel with discovery requests propounded to the KBI.

Assisting KBI Executive Officer/Legislative liaison by researching, monitoring, tracking and maintaining legislation of interest to the KBI.

Miscellaneous tasks, such as: maintaining legal files and law library; proofreading documents; making travel arrangements; drafting travel expense logs, purchasing supplies; delivering documents and other media to the courthouse and/or other locations; renewing KBI subscription services.
Qualifications:
Education
-
Secondary education, Paralegal Certification, or equivalent experience.
Licensing & Certification

Paralegal Certification preferred.
Minimum Qualifications
-
Six plus years experience in a Legal Assistant or Paralegal role – applicable education may be substituted for experience as determined relevant by the agency

Proficiency in Microsoft Office software

Solid organizational skills
-
Excellent grammar and written and oral communication skills
-
Ability to proofread and edit for grammar, spelling, syntax and style

Adaptability and ability to multitask and prioritize daily activities

Resourcefulness in researching legal, legislative and other materials and issues

History of exercising keen discretion with the handling highly confidential and sensitive material

Ability to stay on task and ignore/avoid distractions
Preferred Qualifications

Prefer proficiency in using Westlaw or other legal research platforms; ability to learn quickly and adapt easily; confident, easy-going disposition and desire to get along well with others and collaborate with legal team, but comfortable working alone with little direction, also; self-motivated and self-disciplined; able to handle sensitive or confidential situations and information with extreme tact; awareness and understanding of complex legal terms and concepts, as well as ability to organize disorganized materials and introduce efficiencies into workflows.
