Position Type: Part-Time / Seasonal (Hourly)
Note: This position has the opportunity to become permanent. Typical Workday is 10am until 2 pm and requires occasional early morning, evening and weekend availability to support events.

Position Overview
The Operations & Events Coordinator plays a vital role in ensuring the seamless execution of all Chamber programs, networking events, and day-to-day administrative operations. This position focuses heavily on event logistics, vendor management, volunteer coordination, and maintaining an organized, compliant operational environment to support the Chamber’s overall mission and community impact.
Key Responsibilities
Event Logistics & Execution
- End-to-End Management: Plan and execute comprehensive logistics for all Chamber events, including Business After Hours, Morning Huddles, Ribbon Cuttings, annual meetings, the Member Appreciation Event, fundraisers, and large-scale initiatives.
- Vendor & Contract Management: Source, negotiate terms with, and manage ongoing relationships with venues, event contractors, caterers, and AV vendors.
- On-Site Operations: Direct on-site event setup, registration desk operations, timeline management, and post-event teardown.
Volunteer & Committee Support
- Liaison Role: Serve as the primary staff contact for event volunteers while collaborating closely with the Events and Ambassador committees.
- Team Leadership: Recruit, schedule, train, and brief volunteers to ensure smooth, professional event-day operations.
Office Administration & Compliance
- Daily Operations: Oversee day-to-day office administration, including monitoring and ordering supplies, answering general phone inquiries, managing mail routing, and scheduling meetings for the Executive Director.
- Administrative & Financial Support: Assist the Executive Director with administrative compliance, document creation and organization, and tracking event budgets and invoices.
Qualifications & Technical Skills
- Professional Experience: 3+ years of proven success in event planning, hospitality, logistics, or operations management.
- Technical & Software Proficiency: High proficiency in G Suite (Sheets, Forms, Docs), Microsoft Office Suite (Word, Outlook, OneDrive), CRM/chamber management databases, and Canva.
- Financial Acumen: Strong understanding of budget management, including tracking event expenses and maintaining financial allocations.
Soft Skills & Key Competencies
- Communication: Exceptional written and verbal communication skills (crucial when dealing with local business leaders, stakeholders, and sponsors).
- Problem-Solving & Adaptability: Ability to think on your feet during live events and handle unexpected logistical challenges gracefully.
- Time Management: Strong organizational skills with the proven ability to multitask and meet strict deadlines. Ability to manage evolving competing priorities.
Physical & Working Conditions
- Physical Requirements: Ability to lift/carry event materials up to 30–40 lbs and stand for extended periods during events.
- Travel/Transportation: Must have reliable transportation for local travel between venues, vendor sites, and the office."
Compensation & Application Details
- Pay Range: Standardizing a wage range $15-$18 per hour (DOE)
- Estimated Hours: 20–35 hours/week
